POSITION PURPOSE:

The RMDC Clerk collects, maintains, and distributes all records and documents as required. Maintains a comprehensive filing system and computer database for all documents to be retained in the records management center. Conducts the operation of the records management center to ensure that all users have the latest revision of appropriate documentation in a timely manner. Demonstrates a personal commitment to safety and quality.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Processes Active Records, which includes determining and stamping records with the appropriate markings, checking for accuracy and completeness, attributing in Documentum for tracking purposes, labeling, and filing.
  • Processes Inactive Records, which includes determining and stamping records with the appropriate markings, checking for accuracy and completeness, sorting, indexing, attributing in Documentum for tracking purposes, labeling, and filing.
  • Assigns document numbers for DOE and North Wind Dynamics, LLC (NWD) documents.
  • Creates document covers and spines (includes verification of classification and Classification Officer's signature).
  • Responds to customer requests for documents (includes researching, retrieving, providing copy of document either with hard copy or electronic copy, and verification of classification with the stamping of appropriate markings on the document); Records Manager may have to be consulted for requestor's 8 need-to-know" and to request records from USEC.
  • Maintains Controlled Documents and Controlled Distribution of specific documents (includes creating or updating the Table of Contents and Distribution List, copying, verifying classification, updating existing RMDC and DOE Controlled Document, performing distribution of the Controlled Document to appropriate Controlled Copy Holders from the Distribution List, and periodically assessing the Controlled Copy Holder's Table of Contents and document).
  • Scans documents upon request from NWD or DOE (creating PDF or Word documents).
  • Determines and assigns, as directed, the correct Document Management System (OMS) File Guide Tracking Number of Active Records for records categorization, tracking, filing, and disposition.
  • Assists the Records Manager with the disposition of records, including disposal of records or shipping records to the appropriate Federal Records Center.
  • Provides input for the development of departmental procedures as needed.
  • Energy Employee Occupational Illness Compensation Program/Freedom of Information Act (EEOICPA/FOIA)
  • Administrative record coordinator.
  • Collects documents and maintains indexes to support the Administrative Record/Information Repository of the Environmental Information Center.
  • Retrieves and delivers external mail.
  • Sorts internal and external mail for distribution.
  • Uses postage meter to affix appropriate postage to all external mail. Tracks postage utilization by other contractors for billing purposes.
  • Maintains a safe working environment. Demonstrates awareness and implementation of applicable environmental, safety, and health (ES&H) requirements while also alerting co-workers of such requirements as needed.
  • Demonstrates the ability to get along with co-workers, customers and visitors.
  • Demonstrates a personal commitment to safety and quality.
  • Performs other duties as assigned.

Safety Responsibilities:

Keep work area in order and free of hazards. Perform work within the controls identified and stop work when an unsafe work condition exists. Participate in safety programs and initiatives. Report all injuries. Participate in work planning so that hazards are identified, and appropriate corrective actions are taken.

MINIMUM QUALIFICATIONS:

Education and Experience:

  • Position requires high school diploma or equivalent plus at least three years of related work experience.
