Logistics Coordinator

Our client is seeking a motivated and detail-oriented individual to join our client's team as a Full-Time Logistics Coordinator. The ideal candidate will have experience in order and logistics coordination, particularly in the context of design and furnishings. 

This candidate will leverage our client's internal software stack and processes to facilitate seamless property set-ups, often with complex and nuanced requirements. The Coordinator will regularly interface directly with hosts and interior designers on high-value projects without oversight.  

Exceptional attention to detail, strong organizational skills, flexible problem-solving, and professional communication are essential ingredients for success in the role.

Location: Full-Time, In-Office - SoHo, New York City

What You’ll Do

Client Interface:

• Communicate with clients, including hosts, property managers, and interior designers to articulate the scope of our client's solutions and gather project requirements, including design objectives, budget, and timeline factors.

• Partner with clients throughout each project to resolve questions, communicate developments, and troubleshoot any exceptions to satisfaction.

Build Shoppable Smartlists:

• Become a “super-user” of our client's Smartlist software – preparing and refining shoppable Smartlists for clients according to their requirements.

• Quality assurance to confirm variants, descriptions, costing, and pricing information is perfectly accurate before dispatching Smartlists.   

• Insure party with client designs and identify potential inconsistencies to resolve before orders transact.

Ordering Processing:

• Ensure orders are split and dispatched to brand partners swiftly and accurately.

• Regularly audit pricing, shipping timelines and stock levels.

• Accurately submit orders for quotation or trade portal processing with applicable partners.

Logistics:

• Oversight of open order logistics, including maintenance of tracking data.

• Returns processing, including request-for-return label generation and maintenance of records in order management and accounting systems.

Brand Partner Interface:

• Communication with our client's brand partners to support their success in reaching sales and marketing goals for our client.  

What You’ll Need

Experience:

• Previous experience in logistics coordination, ideally in the context of design and furnishings.

• Knowledge or experience in setting up or operating short-term rentals and/or other professional interior design projects is a significant advantage.

Organizational Skills:

• Exceptional attention to detail, acting as a firewall for quality control. 

• Organizational skills with the ability to manage multiple tasks simultaneously.

• Ability to maintain work quality given high-pressure projects on a tight timeline. 

Problem Solving Ability:

• Flexible thinker and doer, with a track record of successfully delivering successful outcomes against fluid requirements.

• Move quickly without sacrificing quality standards or demanding excess oversight.

Communication:

• Excellent communication skills, both written and verbal.

• Ability to interact professionally with clients and collaborate effectively with team members.

• Prompt response times to clients and partners on all communications.

Tech-Skills:

• Comfortable using (and learning) digital tools including Shopify, GSuite, and Onport, as well as custom tools across our client's company stack.
