This position is eligible for a hybrid Flexible Work Arrangement (FWA) currently projected to be three days on campus (Tuesday, Thursday, and Friday) and two days remote (Monday and Wednesday). FWA arrangements are subject to manager approval and may shift due to changes in business needs.

Must be eligible to work in the US on a full-time basis for any employer without sponsorship.

Purpose

The mission of the Faculty Affairs team is to recruit, retain, and support an extraordinary faculty community at the University of Texas at Austin, one of the leading public flagship research universities in the world. We help colleges and schools across campus find incredible thinkers, educators, and researchers and support every part of their professional journey at the University. We do this by building resources and programs that support career development, enhance instructional abilities, promote scholarship and research, and provide opportunities for mentorship and collaboration. We also manage work and life policies, faculty evaluation, and promotion and tenure.

Under the direction of the Assistant Vice Provost for Faculty Affairs, this position was created to support the systems and applications used by the University to manage the faculty career lifecycle. The employee in this position will serve as an integral member of an implementation team comprised of various teams and stakeholders across the University working to implement a new, campus-wide faculty information system (FIS). The FIS tool will serve as a central repository for faculty activity reporting, as well as a workflow mechanism for faculty evaluation processes, including annual evaluation, promotion and tenure, mid-probationary review, and comprehensive periodic review.

Responsibilities

  • Support the multi-year, piloted, and phased implementation of a new faculty information system (FIS) in collaboration with provost office leadership, the Academic Information Systems (AIS) team, campus stakeholders, and the FIS vendor.
  • Coordinate and lead requirements gathering and design sessions, document business rules and system requirements, and develop business process models and recommendation documents based on stakeholder needs, best practices, and system functionality.
  • Configure, test, and validate recommended solutions. Lead user acceptance and design confirmation sessions. Develop process and procedure documentation, diagrams, matrices, and workflows based upon configuration and testing outcomes.
  • Lead the development of a robust FIS training program, including creating guidance materials for campus stakeholders and organizing in-person training sessions for colleges and schools. Serve as the FIS steward and subject matter expert during implementation and after go-live.
  • Proactively communicate stakeholder needs to vendors and system developers. Promote the importance of needed product changes. Actively research and analyze system functionality, roadmaps, and upcoming feature releases to best prepare campus stakeholders for change impacts and process improvements.
  • Through engagement with key stakeholders and campus partners, identify, design, and execute improvement initiatives to enhance efficiency and end-user experiences of other faculty career management systems and applications.
  • Other related functions as assigned.

Required Qualifications

  • Bachelor’s degree with more than three years of experience performing the work of a business analyst for administrative systems, including leading design sessions; gathering and documenting requirements; business process modeling; testing complex technical processes; and developing recommendations, workflows, training materials, and presentations.
  • Experience in some aspect of delivering successful projects, managing automation projects, performing data analysis and data validation, and/or creating custom configurations in third-party solutions.
  • Strong verbal, written, and presentation communication skills. Demonstrated ability to work and communicate with high decorum and with a variety of groups at differing organizational levels to achieve the goals of a project.
  • Ability to understand and configure vendor systems.
  • Exceptional analytical, multi-tasking, and problem-solving skills.
