Description

We are seeking a highly organized and proactive Administrative Assistant to support our team with a wide range of administrative and operational tasks. This role is ideal for a detail-oriented individual who thrives in a dynamic environment and can manage multiple responsibilities efficiently. The successful candidate will be a strong communicator, a problem-solver, and someone who enjoys contributing to the success of a collaborative workplace.

Your New Role

General Administrative Support
  • Office management, document preparation, data entry, and general support to business leaders and HR.
  • Copying, scanning, printing reports, and filing payables.
  • Assist with Practice CS time entry for internal and external consultants.
  • Support new hire IT setup and manage equipment collection from termed employees.
AAC Business Unit Support
  • Facilitate issues with Egencia, Ramp, Thrive, and other Davies systems in coordination with HR.
  • Coordinate Secretary of State registrations/updates with Compliance, Finance, and Officers.
  • Liaise between Legal, HR, and business leaders as needed.
  • Manage mail related to unemployment taxes and direct to Davies payroll.
  • Coordinate holiday gifts and social events with P&C Actuarial team.
P&C Employee Support
  • Schedule and maintain Sr. Director, Director, and company-wide meetings.
  • Support CAF process and monthly updates with VBA tools.
  • Coordinate annual surveys and dashboard updates in Power BI.
  • Schedule and maintain Learning Curriculum for new hires.
Facility & Office Management
  • Submit facility requests and manage upkeep of appliances and equipment.
  • Prepare offices for new occupants and manage security badge assignments.
  • Reserve and prepare conference rooms for meetings, including food orders and setup.
  • Monitor and restock office and breakroom supplies weekly.
Culture & Engagement
  • Organize monthly birthday breakfasts: announcements, food orders, setup, and cleanup.
  • Support social events and employee engagement initiatives.

What You'll Bring to the Role

  • Proven experience in administrative or office support roles.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and familiarity with systems like Practice CS, SurveyMonkey, Power BI, etc.
  • Ability to work independently and collaboratively in a fast-paced environment.
