We are hiring a Staff Assistant – Spanish Speaking (ADMINISTRATIVE ASSISTANT II) for our Human Resources Office located in Springfield, IL. This position is responsible for providing support to the IDOR Human Resources (HR) Director and Staff, assisting with recruiting events, and effectively communicating HR and employment information to bilingual employees and job seekers, among other duties. Essential Functions
- Under administrative direction, serves as confidential staff assistant to the Human Resources Director.
- Researches, gathers information and independently performs special projects, reports and studies as directed by the Human Resources Director, some of a sensitive and confidential nature.
- Assists in preparation of proposals for HR initiatives at the HR Directors direction.
- On behalf of the HR Director, addresses and responds to audit requests associated with hiring, classification, personnel transactions, payroll, benefits, and all other aspects of human resources.
- Administers support functions for the Human Resources office.
- Coordinates labor relations issues between the Labor Relations Office, HR Office, Internal Affairs Office, Program Areas and Equal Employment Opportunity (EEO) Officer.
- Serves as the agency primary point of contact for general inquiries regarding the Upward Mobility Program (UMP).
- Performs liaison work between agencies and representatives of private organizations.
- Serves as backup to Recruiting.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
- Requires two years of professional experience in a public or private organization.
- Requires the ability to speak and write Spanish at a colloquial skill level in carrying out position duties in conjunction with non-English speaking individuals.
Preferred Qualifications
- One (1) year of experience coordinating, processing and distributing human resources information to executive staff.
- Two (2) years of experience working with Microsoft Office or similar software systems to include but not limited to, Microsoft Word, Excel, Outlook, PowerPoint and Teams.
