  • What you will do:

  • The Department Scheduler and Support Assistant is responsible for managing clinical schedules, providing administrative support to the Emergency Medicine (EM) physician practice, and assisting with various department projects. This role serves as a vital point of contact for physicians, patients, and staff while ensuring the smooth operation of administrative tasks within the division.
  • Scheduling: Create and maintain clinical schedules for 60+ ED physicians.Assist with template preparation and schedule entry in our online scheduler-EZCall. Create and maintain call schedules for: ED Administrative On-Call (Smart Web, Pulse, EZCall) Lab-Antibiotic Follow-Up Call List

  • Physician Support:Track annual mandatory and compliance requirements for ED physicians, including: Pediatric CME, Trauma CME, Flu Program. Risk Management Annual Learning Module. OB Hemorrhage & Hypertension, OPPE, SRE, Communication Course, Fit Testing, Stroke Training. Follow up on CME/certification requirements and staff CME reimbursements. Automate and maintain personnel files.

  • Administrative Support: Compile Misc. ED reports as assigned.

  • Prepare and submit bi-weekly overtime hours report. Track and manage physician vacation hours. Assist with the maintenance of the division website and physician intranet profiles. Update and upload ED policies and procedures on the intranet. Organize and maintain personnel files. Schedule and coordinate meetings. Order office supplies. Manage mail and fax correspondence (including refills, death certificates, and patient insurance forms). Submit and follow up on office maintenance tickets. Distribute ambulance forms to Nurse Managers at hospital campuses. Submit and track staff reimbursements
  • Risk Management Support: Coordinate with the Legal Department on risk management matters. Forward subpoenas to Risk Management and support physician involvement in legal cases.

  • Notify physicians about subpoenas, depositions, and legal representation.
  • Assist in gathering W-2 forms and work schedules for deposition coordination.
  • Patient Interaction: Answer phones, serving as the first point of contact for physicians, patients, and others. Transcribe and send certified letters to patients regarding lab results, medication changes, and follow-up instructions.

  • Team Collaboration: Work closely with the Division Head, Physician Leads, physicians, staff, and medical education programs (residents, medical students, PA students, and fellows).

  • Provide support to RN/APP staff. Send thank-you notes to donors (R&D EM fund, Mulroy).

  • Education: High school diploma or equivalent work experience required.
  • Certification: N/A
  • Experience: Minimum of 1 year of relevant work experience required; medical office experience preferred.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
