About the role
Summary
We are seeking an energetic Executive Assistant to ensure the efficient and smooth day-to-day operation of our office. Dependable, flexible, and motivated with the ability to perform well under pressure and meet aggressive deadlines in a very collaborative environment.
Responsibilities
- Organize and manage team calendars
- Assist in the preparation of regularly scheduled reports
- Arrange extensive travel and logistics: domestic and international
- Calendar coordination: arrange appointments, meetings and conference calls
- Manage processes that support the daily activity of your executive (e.g., reminders, folders, to-do list, organize notes that prompt calendar action)
- Plan and coordinate meetings, off-sites, and other projects domestically and potentially globally
- Prepare meeting agendas and attend meetings to create/record action items are recorded and appropriate follow up
- Maintain Brand leadership tracker
- Coordinate the Monthly Business update meeting including agenda and presentation materials.
- Provide support in preparation and in production of material (agendas, presentations, production grids etc.) for events/meetings
- Manage confidential information using judgment and discretion
- Communicate with individuals inside and outside of department, at all levels of the organization, and welcome and direct visitors
- Produce and run reports needed
- Maintain department DTO calendar
- Submit and reconcile expense reports
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Liaise across company with executive and senior administrative assistants to handle requests and queries from executive leadership
Education Requirements
Bachelor’s degree preferred or a minimum work experience as an Executive Assistant (EA) for 2-4 years to a high-level executive (President, General Manager, SVP).
Requirements
- Proven experience as an Executive Assistant for an organization of 100+ associates
- Extensive successful experience booking and managing travel requests (Domestic and International)
- Knowledge of office management systems and procedures
- Advanced experience with MS Office (Excel and PowerPoint, and Outlook)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task and work in dynamic, ever changing environment
- Ability to look ahead and anticipate needs and risks
- Quick learner, self-starter and willing to learn new programs
- Sports fan is a plus
