Role description:

Arcadis is looking for a Project Assistant, to support our Project Managers, Marketing Professionals, and Project Administrators within our California Regional Resilience Water Business Team! This role can be performed in the office, hybrid, or remotely. 

This is an exciting opportunity for a self-motivated individual to join our team with support from one of the best-qualified consulting firms in the country. The Project Assistant (PA) will be responsible for project specific work, such as: billing, tracking progress of various ongoing projects, preparing reports regarding contracts for management use, arranging team/project meetings, monitoring schedules, project budgets and preparing and distributing routine correspondence related to the projects, for a variety of project teams simultaneously. The PA will be primary support to Certified Project Managers.

Role accountabilities:

As a Project Assistant, you will track and monitor project schedules, budgets and all support all aspects of project and financial management.

Other responsibilities include:

  • Prepare monthly project billings.
  • Provide and analyze financial project metric reports for project managers. (Project Revenue, profitability, accounts receivable etc.)
  • Setup new projects and update project forecasts in the project management tools.
  • Prepare documents associated with client billing related to public and private client contracts.
  • Verify invoicing complies with contract terms, support CPMs in preparation of invoice materials.
  • Prepare sophisticated reports and spreadsheets, conducting a high level of quality control of documents following the guidelines associated with billing large municipal clients.
  • Prepare contract terms compliance reports.
  • Participate on monthly project reviews with Finance Managers and Project Managers.
  • Regular tracking, monitoring and report preparation/sharing of WIP, AR and AP. 
  • Ability to work overtime, as needed.

Qualifications & Experience:

Required Qualifications:

  • 5 years of technical/administrative financial experience in a fast-paced setting.

Preferred Qualifications:

  • Bachelor's degree.
  • Certification in Business, Accounting, Finance or a related field of study.
  • Strong understanding of project planning tools and softwares.
  • Previous experience with the client billing procedures.
  • Proficiency with Microsoft Office Applications particularly Word, Excel & PowerPoint.
  • Experience with Oracle business system applications software.
  • Ability to work under time constraints to accomplish goals and objectives, handle multiple projects for several project managers simultaneously.
  • Excellent analytical skills, with a strong attention to detail.
