About the role
Description
A non-exempt position responsible for administrative support related to the Human Resources Department. Handles moderately complex issues and problems and refers more complex issues to higher-level staff.
JOB FUNCTIONS:
- Assists with onboarding process for new employees and new employee orientation.
- Send 30-day surveys to new hires. Track follow up items.
- Set up new employee personnel files and maintain employee records for physical and electronic requirements.
- Maintain file room set up and storage of physical employment records.
- Point of contact for HRIS data inputs for HR-related data and compiles standard reports for management review.
- Act as primary back-up for Receptionist to cover front desk during breaks, lunch, and when Receptionist is absent.
- Process all off boarding requirements for terminating employees.
- Process verification of employment requests.
- Manages system for renewal of employment requirements that includes driving on company business, CPR/BLS, professional certifications, annual influenza and others as determined.
- Inventory and order department supplies.
- Assists with annual service award program.
- Assist the Human Resources Department with special projects as assigned.
- Assists in the creation and maintenance of human resources forms or documents.
- Answers basic employee questions about human resources policies or offerings.
- Schedules meetings, interviews, or training sessions.
- Responsible for complying with safe and healthful work practices as outlined in Inspire Health Medical Group’s Employee Safety and Injury and Illness Prevention Program and policies and procedures specific to their department needs.
- Promote the purpose, values, and foundations of Inspire Health Medical Group at all levels of the organization and to our community partners.
Requirements
Education:
- High School Diploma or GED required.
- A.A./A.S. or equivalent experience preferred.
- Bachelor’s degree desired.
Experience:
- Two to three years of administrative/clerical support or additional educational equivalent required.
- Experience in Human Resources and Recruiting desired.
- HRIS or database experience preferred.
PERFORMANCE REQUIREMENTS
Knowledge:
- Possesses solid working knowledge of subject matter. May provide leadership, coaching, and/or mentoring to a subordinate group.
Skills:
- Demonstrated proficiency in MS Word, Excel, and database software programs.
- Verbal and written communication skills necessary to convey information effectively and professionally, with courtesy and tact.
- Strong Organizational, Customer Service, Interpersonal and Clerical skills needed.
- Detail oriented.
Abilities:
- Ability to plan, prioritize and coordinate multiple administrative projects.
- Ability to establish/maintain effective working relationships with staff at all levels and business partners.
- Ability to handle sensitive and confidential employee information in a professional manner.
Physical Requirements:
- Involves sitting approximately 90 percent of the day, walking or standing the remainder. Some bending, stooping, and lifting up to 15 pounds.
Equipment Operated:
- Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment:
- Position in a well-lighted office environment. Frequent contract with a variety of people.
