Job Description

Purpose:

This position will provide the administrative support for the faculty, technical lab manager, and technical staff in the AggieFab Laboratory and serve as the liaison with various departments, administrative offices, and industry. The program specialist will manage accounts receivables and payables for the AggieFab Laboratory, which is a university shared user facility; oversee user access and maintain records of user safety training; provide organizational interface between the technical staff and the faculty; order supplies and equipment; assist lab manager and IT staff with establishing and maintaining iLab, a web-based user facility interface and scheduling system; provide customer support; receive deliveries to GERB for ECE research labs; provide building and lab access; handle all day-to-day general administrative duties; and attend meetings. Other duties will be assigned as the need arises.

Responsibilities:

  • Manage accounts receivables and accounts payable for AggieFab that will include setting up customers in an accounting system; reconciliation of user activity with billing; and preparation of purchase vouchers and requisitions for TEES and TAMU accounts using FAMIS, MAESTRO, and AggieBuy A&M System.

  • Assist lab manager and faculty with purchasing of lab supplies, organizing and tracking scheduled supply orders, and implementing special purchasing for faculty customers. Receive orders in AggieBuy as they arrive. Hire and train front-desk student workers as needed to assist with purchasing tasks.

  • Assist lab manager and IT staff with maintaining the iLab web-based user facility interface and scheduling system

  • Complete day-to-day administrative support duties for AggieFab management and staff

  • Attend meetings as needed

  • Assist AggieFab management with event planning

  • Oversee user access and maintain records of user safety training

  • Work with HR office to complete paperwork for visiting researchers

  • Provide building access as appropriate • Organize and maintain usage data and reports for AggieFab operations

  • Provide additional administrative support to the AggieFab Director

  • Respond promptly to questions and assignments by AggieFab management; communicate the status of assignments proactively.

  • Complete other duties as assigned

  • Key qualities include: attention to detail, thoroughness, sense of urgency, and clear communication to all stakeholders

What We Need:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • Three years of related experience.
