$21.36 - $29.90The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
GENERAL PURPOSE:Serves as administrative assistant to a singular leader whose role is within the leadership career stream. Provides general administrative support. Maintains and files reports and other information. Schedules and coordinates logistical support for conference calls and meetings. Makes travel arrangements. Provides word processing and other document preparation services. Locates and retrieves information in support of management and technical staff.Schedule 8 AM-5 PM Responsibilities GENERAL PURPOSE: With minimum direction and considerable latitude for independent judgement, coordinates the compliance, recruitment, and education activities of the Dental Residency Program. Maintains solid working knowledge of agencies, regulations and training requirements related to dental residency training. Functions as a liaison between residents, faculty, administration, Office of Graduate Medical Education (GME), Registrar's Office, external agencies and other institutions. Serves as the dual primary administrative support to the Chair and Program Director. RESPONSIBILITIES: Administrative Support for the Department Chair and Program Director: - Proactively and effectively manage the time and calendar for the Department Chair and Program Director by choosing or recommending among competing demands on time, referring matters to be handled by others and controlling access to the Chair. - Coordinate all travel arrangements and manage reimbursement process Recruitment Support: - Manage recruitment databases. Distribute post-match surveys, analyze results, and provide feedback to Program Director. - Coordinate applicant interviews with faculty - Act as liaison to the EIOH Registrar's Office and GME Office for MedHub and Postdoctoral Application Support System (PASS) reporting and troubleshooting. - Manage and coordinate the orientation schedule Compliance Oversight of Dental Residency Program: - Monitor and manage compliance of BLS certification, mandatory health requirements and rotations. - Monitor and report duty hour requirements - Assist with ensuring program compliance with GME, CODA and other accrediting bodies. - Assist with site visits from accrediting bodies - Prepare and help manage year-end survey reports for program quality improvement - Manage off-boarding procedures and compliance for all graduates - Serve as proctor for exam administration, as needed Scheduling: - Manage and track didactic schedule, conferences, and rotations - Manage and track vacation and sick days; leaves of absence - Coordinate and arrange meeting facilities, meals, equipment and travel arrangements - Coordinate and disseminate Call schedules Other duties as assigned QUALIFICATIONS: - College degree in related field required. - Prior experience in an academic or health care institution. Strong interpersonal, communication and writing skills. Experience in MedHub and Microsoft Office products (Word, Excel, PowerPoint, Access). - 1-2 years of administrative experience, or a combination of education and experience preferred. - Excellent oral and written communication skills. Ability to work both independently and collaboratively in a team environment. Strong computer skills, including Microsoft Office suite preferred.
