POSITION SUMMARY: The Administrative Assistant is primarily responsible for accurately processing all vehicle sales documentation and all paperwork related to license and registration of a sold vehicle.

ESSENTIAL DUTIES:

• Process all new, used, and trade-in vehicle sales documentation and enter into accounting in an accurate and timely manner.
• Verify costs for the Accounting Department and notify management immediately of any discrepancies in the car deal.
• Prepares documentation and payoffs to financial institutions and customers.
• Work with Finance Clerk to ensure all documentation has been sent to financial institution.
• Verifies that funds have been collected for car deal deposits and funding from financial institutions.
• Monitor and maintain accurate car inventory accounts.
• Maintain all schedules assigned.
• Process all new and used vehicles for registration in the state in which they will be titled.
• Follow up with customers to obtain necessary documents on trade vehicles or purchased vehicles as needed.
• Contacts banks to obtain lien releases and notifies car deal clerks of short or missing payoffs if discovered.
• Assist banks and customers to ensure correct titling of vehicles, liens, missing odometer statements.
• Open and accurately record incoming titles daily according to established procedures.

Requirements

Education and Experience:

• High School Diploma or Equivalent.
