We have a great opportunity for an experienced Executive Assistant in Asset Management (AM) in our New York office. This role will provide direct support to a Group Managing Director and several Managing Directors and their teams. If you have the necessary experience and are agile in your time management, comfortable assisting with projects, able to prioritize most sensitive matters and move at speed this role may be for you!
About the Role
As noted, this role supports a Group Managing Director and several Managing Directors in our Asset Management division and as such will include handling heavy calendars and complex travel arrangements, preparation of agendas and materials for projects and meetings and support in projects and initiatives.
Additional key responsibilities of the role include:
- Screen email, visitors, and other requests and evaluate relevance and importance of each. Collaborate with other team members and triage questions as appropriate.
- Compose well-written correspondence from brief instructions or notes. Edit and format documents and correspondence, which may include confidential information.
- Prepare agendas and supporting meeting materials, take and transcribe minutes of highly technical meetings. Prepare and distribute final meeting minutes and reports; conduct follow-up assignments as necessary.
- Prepare reports and presentations using Power Point, Excel and MS Word.
- Support other Asset Management functional areas and members of the organization’s senior leadership team with special projects as needed; support of other EAs as needed.
- Manage calendars, travel arrangements and expense reimbursements, relative invoices, meetings and conference calls including invitations, conference room reservations and visitor registration.
- Assist with office procedures regarding filing/electronic filing, scanning and ordering of printed presentation materials.

You enjoy a challenge, analyzing needs and problems to determine approach and priority.
Additional requirements include:
- Seasoned professional with minimum 8-10 years direct experience supporting senior executives.
- Must have successful experience handling highly confidential and sensitive information.
- Superb written and verbal communication skills.
- Very strong time management skills and the ability to organize and coordinate multiple projects at once and under pressure.
- Excellent follow-up skills, flexible and detail-oriented with ability to multi-task while anticipating and prioritizing.
- High-energy, thriving under tight deadlines.
- Superior organizational and analytical skills.
- Experience in event planning in a corporate environment is desirable.
- Bachelor's degree or equivalent preferred.
