The role: 

Looking for detail driven organizers who loves keeping projects on track! We are hiring two contract coordinators in Salem. In this role, you’ll lead weekly bid openings, review project requirements, evaluate contractor submissions and help move contracts smoothly from start to finish. We are filling one permanent position and one limited duration position. The limited duration appointment is expected to end on or before 6/30/2027. Limited duration appointments are benefits eligible and have a designated maximum length of service. This position has the potential to become permanent. 

Most of this work may be conducted at a hybrid remote alternate worksite with full access to the needed operating systems and technology. However, work will be required to be performed at the Salem office building at a minimum of one day per week or more, depending on business needs. Initial training will require a minimum of 3-5 days in office.

A day in the life:

  • Review solicitation, project specifications and addenda.

  • Create reports and documents for posting on the website and distribution to the contracting community, including posting bid data.

  • Coordinate and facilitate weekly public bid openings.

  • Understand and apply state and federal laws, rules, regulations and specifications for highway construction contracts. Research applicable law, rule, regulation, specification or case history to recommend acceptance or rejection of bids.

  • Review and evaluate bid proposals.

  • Analyze construction engineering budgets.

  • Prepare and submit award or rejection recommendations.

  • Coordinate requests for anticipated items and other technical questions or reviews.

  • Prepare award letter and appropriate instructions to send with contracts to prime contractor.

  • Prepare contract signature pages, performance and payment bond pages.
