Summary
The Senior Coordinator, Executive Support provides high‑level administrative and operational support to the Department Chair and Chief of Service at CHI Baylor St. Luke’s Medical Center. This role manages complex daily operations with minimal supervision, including comprehensive calendar oversight, travel coordination, and the execution of confidential tasks requiring discretion and sound judgment. Serving as a key liaison, the coordinator facilitates communication between college and hospital leadership, departmental faculty, and administrative offices across the institution. The role works closely with the BCM Office of Faculty Affairs to support all aspects of faculty appointments and promotions. This position also oversees the full lifecycle of faculty recruitment, including applicant communication, itinerary development, and coordination with leadership teams at CHI BSLMC, Ben Taub/Harris Health, the Michael E. DeBakey VA Medical Center, and Texas Children’s Hospital. Success in this role requires exceptional verbal and written communication skills, a high degree of professionalism, and the ability to manage sensitive information with strict confidentiality.
This position is fully onsite and located in the Texas Medical Center.
Job Duties
- Demonstrates professionalism in managing every aspect of the Department of Neurosurgery Chairman's office daily operations, including faculty appointments and promotions, calendar and travel management, organization of department meetings, events, retreats and other functions related to the department and hospital activity.
- Responsible for the creation and maintenance of the hospital neurosurgery service line call schedule(s) as well as distribution.
- Creates, drafts and prepares correspondence related to the Chair's office.
- Handles hospital and clinic credentialing, licenses, and certifications for the Chair as well as initial credentialing of newly appointed faculty members.
- Oversees faculty member compliance related to mandatory college training and attestations by the required deadlines.
- Operates independently and without supervision by the Chair and department Administrator, making decisions on a daily basis requiring good judgment skills and resourcefulness while adhering to BCM policies and procedures.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor's Degree.
- Calendar management experience a must (multiple calendars).
- Proficiency with Microsoft Office Suite.
- Experience using Qgenda.
