Job Description:

A Brief Overview

The Community Wide Scheduler coordinates and manages scheduling services across various departments and locations to optimize patient care and resource utilization. This role involves scheduling appointments, patient registration, coordinating with clinical teams, confirming patient demographics and insurance information (including verifying and/or obtaining insurance prior authorizations), collecting payments, compliance with all state and federal regulations, managing patient data with accuracy and confidentiality, and ensuring all necessary information is communicated to patients and staff. The Scheduler is responsible for effectively communicating with clinical staff, addressing patient inquiries or concerns, maintaining accurate records, monitoring appointment availability, and make adjustments to meet patient needs. This role requires proficient organizational skills, attention to detail, effective communication, the ability to manage multiple tasks in a fast-paced environment and the ability to handle high volumes of scheduling requests while delivering exceptional customer service.

What you will do

  • Coordinate and manage scheduling services across multiple departments and locations to enhance patient care and resource efficiency.
  • Schedule appointments for patients while considering clinical team availability and patient preferences and prepare and send appointment reminders and follow-up communications to patients.
  • Register patients accurately, ensuring all required information is collected and documented.
  • Collaborate with clinical teams to coordinate schedules and facilitate smooth work flow.
  • Confirm patient demographics and insurance details, including reviewing, validating, obtaining, and/or securing insurance prior authorizations, as needed.
  • Collect payments, including co-pays and outstanding balances, and process them accurately.
  • Ensure compliance with all state and federal regulations related to patient scheduling and data privacy.
  • Manage patient data with a high degree of accuracy and maintain confidentiality at all times.
  • Communicate necessary information to patients and staff, including appointment details and instructions.
  • Address and resolve patient inquiries, concerns, or complaints promptly and courteously.
  • Maintain accurate and up-to-date records of appointments, cancellations, and reschedules.
  • Monitor appointment availability and make proactive adjustments to meet patient and organizational needs.
  • Handle a high volume of scheduling requests while maintaining efficiency and attention to detail.
  • Provide exceptional customer service, ensuring a positive experience for patients and internal teams.
  • Verify insurance benefits and eligibility to facilitate smooth billing and claims processing.
  • Troubleshoot scheduling conflicts and coordinate solutions with clinical and administrative staff.
  • Educate patients on scheduling policies, pre-appointment requirements, and available resources.
  • Collaborate with administrative and clinical staff to optimize scheduling processes and improve patient flow.
  • Maintain an organized and efficient work environment, ensuring that all scheduling tools and systems are up to date.
  • Verify provider orders to ensure all requirements are met, including accuracy, completeness, and compliance with organizational policies and external regulations. Confirm and validate orders from outside providers (Conversion Physicians) to ensure proper documentation and authorization.


Qualifications

  • H.S. Diploma or General Education Degree (GED) Preferred
  • 1-3 years Previous healthcare experience Preferred
  • 1-3 years Medical Background and/or Medical Terminology Preferred
  • Technical Skills: Proficiency in using electronic medical record (EMR) systems and scheduling software.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interactprofessionally with patients, staff, and healthcare providers.
  • Customer Service: Proficient commitment to providing high-quality customer service and ensuring a positivepatient experience.
  • Organizational Skills: Exceptional organizational and time management skills, with the ability to prioritize andhandle multiple tasks in a fast-paced environment.
  • Attention to Detail: High level of accuracy and attention to detail when handling patient information andscheduling.
  • Problem-Solving: Ability to identify and resolve conflicts and other issues efficiently.
