The Early Learning Campus Department Coordinator II operates our customer-facing front desk and establishes positive, caring, and respectful relationships with families, children, and staff. The Department Coordinator II supports program financial operations by assisting the Business Unit Administrator, is responsible for maintaining child files, and completes other administrative tasks.
II. Essential Duties and Responsibilities
Financial duties include but are not limited to providing financial management support to the Business Unit Administrator, deposit preparation, remote deposit of checks, maintenance of financial logs and attendance sheets for subsidy reimbursements.
Support Business Unit Administrator with timekeeping duties and additional payroll duties.
Perform front desk reception duties including welcoming and assisting families, visitors, and guests. Conduct daily interactions in a professional, collaborative, and positive manner. Communicate parent requests and concerns to the administrator in charge in a detailed and timely manner.
Monitor front door access, sign children and guests in and out using ProCare software. Issue and track security access cards.
Functions include answering the telephone, mail processing, e-mail distribution list maintenance, and preparation of correspondence. Track late passes, distribute receipts to parents, obtain needed signatures, and collect documents and check for accuracy. Update spreadsheets to inform program operations, including access card disbursement, tuition payments, late pass use, and frequency of illnesses.
Assist with child application processes and immunization renewals while ensuring that all forms are timely, complete, accurate, and in compliance with regulations. Maintain child records and files related to enrollment including new year application packets, absence excuses, Federal Food Program forms, and ProCare child and staff profiles.
Consistently convey and follow ELC policies. Maintain confidentiality at all times.
Submit and track requests for facility maintenance.
Complete a minimum of 15 hours of state-approved training each year. Maintain a current negative TB test and obtain pediatric first aid and CPR certification. Complete other training as assigned.
Report to the Director any concerns about the suspicion of child abuse/neglect and all other issues related to local and state licensing laws. Report to the Kentucky Cabinet for Health and Family Services any concerns about the suspicion of child abuse/neglect and all other pertinent issues related to local and state licensing laws
Assist classrooms as needed
Other duties as assigned
IV. Preferred Qualifications
Associate’s Degree or Two Year University equivalent.
Experience with administrative duties, financials, or support roles in either education, government, or business
Basic knowledge of Microsoft Office Suite, Quickbooks, Workday, and Peoplesoft
Strong communication skills
Office management and organizational skills
Ability to self-direct and manage workload
Experience in working with families or young children in group settings such as childcare or public schools

Compensation will be commensurate to candidate experience.
