Global People Resources (GPR), the human resource function at CRS under the leadership of the Executive Vice President and Chief People and Diversity Officer, has transitioned into a new transformational model on how we support our staff around the globe by providing people solutions that meet the needs of our global workforce. Within the GPR division, the Strategy, Communications, and Internal Operations (SCIO) team aims to optimize GPR’s collective effort for maximum impact by providing internal services and partnership to the GPR division on strategy, communications, and internal operations to bring GPR’s global vision to life with a unified and trusted voice.
Job Summary
The Coordinator I, Administrative Support is an integral part of the GPR division and the SCIO team, reporting to the Manager II, GPR Strategy, Communications, and Internal Operations. The Coordinator provides overall support to the GPR division, including financial and asset management, communication and knowledge support, and overall administrative support. This position is responsible for utilizing current processes and procedures and supports the identification of opportunities for continuous improvement to increase efficiency, accuracy, and effectiveness across administrative tasks.
Roles and Key Responsibilities
Financial and Asset Management:
- Manage GPR technology assets, including coordination with Global Knowledge & Information Management (GKIM) to deploy and receive assets.
- Manage, track, and reconcile GPR credit cards.
- Process invoices for GPR cost centers and support the tracking of purchase orders, vendor agreements, and billing ensuring correct POET codes are utilized.
- Assist with procuring consultants, including navigating processes for arranging contracts and coordinating logistics and payment.
Communications and Knowledge Management:
- Support Knowledge Management through filing, archiving, and systematizing GPR’s filing and organization of key resources, tools, and materials within the GPR division Teams site and MyCRS pages.
- Support the Advisor I, Strategic Change Communications in drafting and packaging routine communication pieces and updating the GPR MyCRS pages.
- Manage and track GPR translations through the procurement and invoicing processes.
Administrative Support:
- Provide day to day administrative support to the GPR division and serves as the back-up for EVP and GPRLT calendaring and scheduling requests.
- Provide administrative support to various GPR teams, as needed.
- Identify opportunities to make administrative division procedures and processes more efficient.
- Coordinate and communicate about GPR division community-building efforts and events, such as GPR virtual coffee breaks and other social activities.
- Coordinate the logistics for GPR division virtual monthly meetings and other virtual events.
- Coordinate the logistics for in-person meetings at the Baltimore office, including room reservations, food orders, and communication with Facilities.
- Record minutes and action items, including follow-up on action items and next steps, for certain GPR meetings.
- Other duties as requested.
Basic Qualifications
- Bachelor’s Degree
- Three-five years of work experience requiring use of organizational skills, customer service skill, training and computer software.
- Basic knowledge of MS Excel, MS PowerPoint, and MS Word.
- Strong time management skills, ability to multitask.
- Strong communication skills, able to edit and proofread documents.
