We are seeking an Executive Assistant to provide comprehensive administrative support to the CHRO, Executive Vice President of Growth and Innovation, and Vice President of M&A, ensuring efficient and effective operations. This role involves managing complex schedules, organizing travel, handling communications, and performing a range of administrative tasks with minimal supervision. 

Key Responsibilities: 

  • Perform a variety of complex and routine administrative duties, ensuring compliance with guidance and policies. 
  • Independently make decisions within established guidelines and perform a full range of administrative services. 
  • Organize and maintain heavy calendars, schedule and deconflict meetings, and manage travel arrangements (domestic and international). 
  • Prepare, proofread, and compose materials with a high attention to detail. 
  • Complete and manage expense reports and procurement card reconciliation. 
  • Assist executives in managing and prioritizing daily workloads and adjusting to revised priorities. 
  • Supervise administrative assistant and delegate tasks effectively to ensure an efficient workflow and adherence to deadlines. 
  • Mentor and guide junior administrative assistant, fostering their professional growth. 
  • Prepare meeting materials, maintain continuity of office operations in executives' absence, and oversee onboarding and compliance processes. 
  • Act as a point of contact for administrative and leadership teams, leveraging networks and resources effectively. 
  • Participate as a primary point of contact and a leader among all administrative staff within the organization, fostering a collaborative environment to facilitate knowledge-sharing and the implementation of best practices.  
  • Participate in or drive team initiatives to improve operations and office best practices, including but not limited to working on special projects and coordinating with senior level leaders 
  • Coordinate, facilitate, and provide support for conferences, meetings, and events, including managing hybrid meetings within Teams (or other hybrid meeting technologies) 
  • Handle catering and event planning for meetings and workshops. 

Basic Qualifications: 

  • 7+ years of experience providing executive-level administrative support in a large corporate environment. 
  • 7+ years of experience in calendar management, making travel arrangements, managing expense reports, and planning meetings. 
  • 5+ years of experience using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management software.
  • HS diploma or GED. 

Additional Qualifications: 

  • Certified Professional Secretary or Certified Administrative Professional (preferred). 
  • Strong attention to detail and accuracy with excellent proofreading skills.
  • High level of professionalism and discretion when handling confidential information.
  • Flexibility to adapt to changing priorities and deadlines. 
  • Strong organizational, prioritization, and analytical skills. 
  • Excellent oral and written communication skills.
