- Reviews purchasing requests for completeness and accuracy
- Locates sources for supplies and services and evaluates options based on cost, quality, and availability
- Selects source and places orders for routine contract purchases
- Locates sources for supplies/services
- Evaluates options based on cost, quality, and availability
- Assists with gathering information for purchases and/or completion of required bid documents for non-routine contract purchases
- Assists with gathering information for purchases and/or completion of required bid documents (e.g. Invitations for Bid, Requests for Quotations, Requests for Proposals, to include Off Contract, Sole Source, Three Quote process, and Not Practical to Quote form requirements) for non-contract items
- Operates computer spreadsheets applications, purchasing/inventory software and internet applications to locate potential suppliers, supplies, and to prepare cost analysis and general procurement reports
- Completes purchase requisitions, purchase orders, blankets orders and receipts, etc. in accordance with the Arizona State Procurement Code and agency rules, policies, procedures, laws, and regulations
- Maintains files on open purchase orders, correspondence, vendor lists, product catalogs, etc.
- Expedites orders and responds to questions and/or delivery problems from staff and vendors
- Initiates change orders and cancellations as necessary
- Receives and restocks supplies, materials, and equipment
- Checks quantity and quality of goods received for conformity to requisitions issued and specifications
- Follows up with vendors regarding any discrepancies, to include coordinating returns and credits
- Stocks shelves and medicine rooms for nursing staff to maintain inventory
- Attends and participates in purchasing-related training, seminars, trade-shows, member affiliations and staff meetings
- Provides training procedures to new staff
Knowledge of:
- Rules, regulations, policies/procedures, principles, and practices that govern the agency, section, and work unit
