About the role

<h2>Overview</h2> <p>The Office Administrator role is based in Thurn-und-Taxs-Platz.  As a front of office face the Office Administrator will be required to be physically in office 4-5 days a week to meet and great all visitors and provide administrative support to internal staff members. This role is a part-time role (4-5 hrs a day).</p> <p> </p> <p>The role requires somebody who can display a professional and polished demeanor and will exhibit an exceptional commitment to accuracy, detail, and follow-up. Handles details of a highly confidential and critical nature.  Collects and prepares information or presentations for use in discussions or meetings with staff and outside individuals. Experience working with customers, vendors, and visitors preferred. Coordinates activities between departments and outside parties.  Contacts internal colleagues at all organizational levels to gather information and prepare reports. Position would require learning and retaining in-depth knowledge of company operations, policies, and procedures.    </p> <p> </p> <p>The role is the anchor and the first point of contact for employees and external stakeholders you need to be confident, independent, structured, accurate and reliable. </p> <h2>Responsibilities</h2> <ul> <li>Complete verbal and written communication in German and English.</li> <li>Serves as the main Point of Contact (POC) for various administrative functions including but not limited to, assisting with on-boarding new hires, answering phone lines, and collecting and distributing messages, order breakroom and office supplies.</li> <li>Responsible for daily in-office checks of all workstations, common and meeting areas. </li> <li>Report any issues with workstations to proper departments. </li> <li>Maintain all breakrooms/areas within office, including checking stock of snacks and drinks and maintaining a clean space throughout. </li> <li>Ensure all personnel and visitors obtain and wear badges and observe security measures. Handle issuance and deactivation of security badges for employees, vendors, and visitors, working with internal departments and building security as needed to provide employee updates.</li> <li>POC for all equipment and building maintenance and building issues. Liaise with building management as needed.</li> <li>Order and submit paperwork for department equipment and supply purchases. </li> <li>Responsible for mail management including collecting and distributing incoming mail. </li> <li>Courier management to include information collection, shipments, pick-ups, and deliveries, notifying employees of status. </li> <li>Complete and reply in a timely manner to incoming requests/task using email and ticketing system. Create tickets for requests requiring other departments.</li> </ul> <p>Additional responsibilities:</p> <ul> <li>Process expense reports for self and/or others, help with special projects, organize in and out of office events, maintain databases, reporting, and submit all invoices for payment to vendors.</li> <li>Schedule meetings and travel arrangements. Coordinate scheduling/booking and use of conference rooms for meetings. Arrange with catering companies for office and meeting luncheons.</li> </ul> <ul> <li>Other duties as assigned. </li> </ul> <h2>Qualifications</h2> <ul> <li>College Educational Level preferred.</li> <li>Good level of German and English (written and spoken)</li> <li>Right to work in Germany</li> <li>Ability to come into our Frankfurt office on a daily basis</li> </ul> <p><strong>Minimum Experience Requirements: </strong></p> <ul> <li>2- 4+ years’ experience of working as an office adminitrator or comparable work</li> </ul> <p><strong>Other Requirements:   </strong></p> <ul> <li>Team player who is ready to constantly develop his / her skills, qualifications, while showing personal commitment to the team and its goals and working in collaborative environment.</li> </ul> <ul> <li>Experience with Microsoft Outlook, Teams, and SharePoint preferred. </li> <li>Ability to work independently with great organizational skills.</li> <li>Demonstrated ability to work confidentially, diplomatically, cooperatively, and effectively with all levels of internal management and staff, as well as outside clients and vendors.
