The Business Support Assistant - FMI position exists to provide administrative support for the General Manager and has limited responsibilities for certain aspects of Accounting and Human Resources at the property level.
Essential Duties/Responsibilities:
HR:
• Is accountable to the Sr VP, Human Resources for all HR functions
• Participates as a member of the Retreat Center Leadership Team (GM, Clinical Site Director, and HR Liaison)
• Is responsible for HR communications and relays key deadlines for benefits, learning opportunities, and policy manual changes to all staff
• Assists all employees in understanding and accessing benefits
• Maintains Personnel Requisitions in keeping with budgeted staffing guidelines
• Reviews applications, screens applicants, schedules interviews, and onboards new employees
• Participates in Recruiting Meetings and other meetings as assigned
Assistant to the General Manager:
• Provides administrative support in the form of taking meeting minutes, managing GM’s calendar, scheduling travel, and reconciling travel reports
• Assists GM and Clinical Site Director in planning annual staff events
Accounting:
• Assists in the purchasing process and works directly with a Colorado Springs buyer
• Assists in setting up vendors and ensuring appropriate Coverage of Insurance (COI)
• Ensures that everyone at the property is accurately completing all payroll tasks
• Manages and reconciles the petty cash account
Other Duties/Responsibilities:
• Creates, maintains, updates, and organizes security of office and computer files containing correspondence, records, etc.
• Liaises with the IT Help Desk on behalf of employees to make sure they can access email, Dayforce, the Hub, and SalesForce
• Manages the employee key card access system
• Serves as a willing support to the Housekeeping and Hospitality team, working alongside them to serve couples as needed
• Performs other duties as assigned

Personal Characteristics:
• Strong integrity and character traits needed to provide accountability on financial stewardship, reporting, and management issues
• Must be a servant-oriented person who maximizes strengths and maintains accountability in areas of needed development
Knowledge/Experience:
• Bachelor's Degree in related field preferred
• 1-3 years of experience in Clerical, HR, or Accounting (or equivalent work experience)
Skills, Abilities, and Special Talents/Gifts:
• Able to communicate effectively, both verbal and written
• Ability to deal with stress from deadline pressure and multiple tasks
• Shows discretion in handling confidential information
• Proficient in use of MS Office software, especially Excel advanced functions (lookups, pivot tables, macros); Great Plains experience preferred
