Summary/Objective

As a Talent Acquisition Assistant, you will be responsible for conducting administrative duties, as well as assisting with coordination of programs such as New Employee Orientation, Internships, Employee Engagement, HRIS Administration, Onboarding, Drug Testing, I-9 Verification, Unemployment, Tuition Reimbursement, and attending various employment events.  Other duties will involve enhancing department-wide programs, generating reports, creating PowerPoint presentations and marketing materials, creating LEAN processes for talent acquisition activities and supporting the talent acquisition team with the overall candidate applicant process.     

 

Essential Job Duties

This position requires full dedication to ensuring all work is done with a high level of attention to detail. Below are the essential duties.  

  • Makes contact with the prospective candidates and coordinates interview scheduling.    
  • Assists with the recruiting process by preparing interview packets, corresponding with applicants, and monitoring advertisements.
  • Schedules trainings, meetings, conference calls and presentations, prepares materials, secures facilities and supplies. 
  • Utilizes application tracking system to complete hiring and onboarding personnel transactions.  
  • Works with Program Coordinators to gather supplies, creates and assembles marketing materials for events, training sessions and outreach events. 
  • Orders catering as needed and helps facilitate room set-up for meetings. 
  • Process and/or submit federal/expense reimbursements, special payroll reductions, etc.
  • Maintains accurate and confidential files for current employees, retirees and terminations based on company, local, state and federal guidelines and respond to file inquiries.
  • Communicates with and respond to questions and inquiries related to Human Resources functions from employees, retirees, managers, supervisors, external vendors, etc.
  • Performs periodic policy audits to ensure up-to-date information is provided and obtain approval for policy changes.
  • Analyzes reports, presents findings and makes recommendations on regular human resources related functions based on identified trends.
  • Analyzes and implements creative ways to source candidates.  

Ancillary Job Duties

 

  • Maintain office supply inventory and make purchases.
  • Order service and/or other awards, snacks and supplies for team parties and other events.
  • Other duties, as assigned.

Education and Experience

  • High school diploma or equivalent.
  • At least three (3) years of experience in general office support work.

Knowledge, Skills and Abilities

  • Demonstrated social media management skills.
  • Highly organized, creative and meticulous.
  • Knowledge of basic accounting skills.
  • Ability to type 40 words per minute and be proficient in other types of office equipment.
  • Ability to carry out complex oral and written directions.
  • Good organizational skills.
  • Excellent communication skills, including telephone skills.
  • Ability to work with frequent interruptions in a fast-paced office.
  • Ability to perform and prioritize multiple assignments.
  • Ability to establish and maintain an effective working relationship with Department staff and the general public.
  • Ability to demonstrate good work habits including being dependable and efficient and meeting deadlines.
  • Ability to travel and stay overnight on occasion.

Work Environment

  • Work is typically performed in a standard office environment.

Physical Abilities

  • Remain in a stationary position 70% or more of the time.
  • Constantly operate a computer and other office productivity machinery.
  • Frequently communicate and exchange accurate information.
  • Clarity of vision at 20 inches or less.
  • Regularly lift up to 5
