Named by the Boston Globe as one of the Top Places to Work in Massachusetts for the last three years, our community based, mission-driven hospice and palliative care organization seeks an Administrative Assistant to join its expanding administrative team. Our not-for-profit hospice and palliative care organization has an opportunity for a highly organized, detail-oriented, compassionate, and proactive individual. Candidates must have strong written and verbal communication skills, be able to learn new skills and quickly adapt to new technologies, and be eager and willing to handle the diverse responsibilities of the job with a helpful, professional attitude and a friendly demeanor.
This is a temporary position that may turn into a permanent role after 1 year.
Job Responsibilities:
The Administrative Assistant participates as a member of the administrative team and provides top-level, detailed administrative and logistical support to the Good Shepherd management team and the palliative care department. They perform general office responsibilities including phone coverage and incoming communications processing, calendar management, maintenance and organization of non-clinical electronic and paper filing systems, and provision of backup support to the Office Manager in their absence.
The Administrative Assistant places and manages patient care material and organizational form orders with vendors, performs order fulfillment quality control, coordinates and conducts data collection and reporting activities and maintains spreadsheets and compiles statistics. They prepare agendas and compile and distribute minutes for designated leadership meetings, provide logistical and administrative support for Good Shepherd Administrators On Call, and assist with internal meeting and event coordination and logistics.
Schedule and Weekly Hours:
Monday through Friday from 9:30 am to 5:30 pm. 40 hours.
Education, Skills and Experience:
- College degree or equivalent experience with a minimum of two years related experience preferred
- Strong organizational abilities and a demonstrated ability to prioritize tasks effectively
- Self-motivated and detail-oriented
- Proactive approach to learning from experiences and acquiring new skills
- Enthusiastic about supporting and working as part of a team
- Excellent verbal, written, and interpersonal skills
- Proficiency in Google Workspace applications (Docs, Sheets, Slides)
