Level: Individual Contributor

Exemption Status: Non-Exempt

Primary Work Location: Oakland Office

Position Type: Temporary Full Time (6 month with potential extension)

On-Site Requirement: In Office Monday – Thursday, WFH Friday


JOB SUMMARY

The Accounts Payable Specialist is responsible for efficient and timely maintenance and processing of accounts payable transactions. This includes processing invoice disbursements, reconciling accounts, responding to vendor inquiries and maintaining related files in compliance with the organization policies and procedures and Generally Accepted Accounting Principles.


RESPONSIBILITIES

  • Prepares accounts payable: review, verify and process purchase orders, invoices and expense reports for proper account coding and accuracy, and obtain the necessary approving signatures for all payments and checks
  • Process checks on an appropriate schedule based on due dates and cash flow patterns/availability
  • Maintain AP aging schedule and clear outstanding aging balances
  • Ensure accurate month end close by perform proper cut-off procedures, reconcile accruals for unprocessed outstanding expenses. Reconcile accounts payable aging report with the general ledger monthly
  • Organize, process and maintain vendor invoices and accounts payable files
  • Communicate with external vendors to resolve discrepancies and coordinate payment as necessary
  • Reconcile vendor statements and follow up on outstanding balances
  • Maintain the master vendor file, permanent vendor files
  • Prepares the IRS Form 1099 Reports
  • Performs other essential duties as assigned
  • Organize and maintain files containing all necessary contract documents, vendor agreements and invoices, lease agreements and invoices



Requirements

  • 2+ years of accounts payable experience required, Retail or non-profit industry is preferred
  • Bachelor’s degree in Accounting is preferred
  • Ability to communicate both verbally and thorough writing in a professional, courteous, and knowledgeable manner 
  • Ability to prioritize and organize tasks according to deadlines and complete them in a timely manner 
  • Knowledge of basic accounting principles 
  • Intermediate Excel skills required
