The Multi Site Administrative Assistant supports day-to-day office operations forTampa area Chromalloy facilities. This role provides essential administrative and clerical support to ensure efficient operations across departments. Responsibilities focus on front office support, coordination, communication, and general administrative tasks in a fast-paced environment.
This position is an hourly, nonexempt role and works closely with site leadership, employees, and visitors to maintain an organized and professional workplace.
PRIMARY DUTIES AND RESPONSIBILITIES:

Administrative Support:
• Serve as first-point contact for visitors, vendors, and customers, providing professional reception services.
• Coordinate meeting room schedules, facility usage, and special event arrangements.
• Manage supply inventories and coordinate ordering of office supplies across departments.
• Support multiple departments with administrative services including document processing, filing, and data entry.
• Serve as backup support for time-sensitive administrative functions across departments.
• Maintain facility informational displays and employee communication boards.
Customer Service Support:
• Process customer documentation and coordinate information flow between customers and internal departments.
• Support customer documentation requirements for repair services.
• Assist Customer Service department during peak periods with administrative tasks.
• Manage and distribute customer correspondence to appropriate internal stakeholders.
• Support implementation of customer satisfaction initiatives.
.Cross-Functional Administration:
• Assist Supply Chain/Materials department with documentation processing and administrative support.
• Support Women of Chromalloy (WOC) and Voice of Customer (VOC) groups with logistics and communication needs.
• Coordinate shipping and receiving of administrative documents and packages.
• Manage sensitive and confidential information with appropriate discretion.
• Order food and arrange catering for meetings, trainings, and company events.
• Process expense reports and coordinate travel arrangements as needed.
EDUCATION AND WORK EXPERIENCE:
• High School Diploma or equivalent required
• 1–3 years of administrative or office support experience preferred
• Experience in a manufacturing or fast-paced environment is a plus
• Strong computer skills, including Microsoft Office (Word, Excel, Outlook)
• Ability to read and write in English with clear communication skills
