Job Description
The Assistant Program Manager is to assist the Director with the planning and coordination of activities for facility capital projects to ensure that goals and objectives of projects are accomplished within prescribed time frames. Responsibilities include client interface, cost & schedule estimating programming, planning, cost control, and financial reporting.
- Drive Asset Lead/Asset Management program
- Work with subject matter experts to develop and refine 5-10 year asset replacement strategies for HVAC, Kitchen Equipment, Fire Panels, Roofs, Elevators, and Escalators for current year and long-term plans. This can be expanded across line of business partners for MCP.
- Work with Sustainability program manager on capital budget updating
- Oversee Facility Response process and program
- Work with maintenance managers to develop full process and operating procedures for Facility Response program, work with team to develop tools and handbook to streamline reporting and processes
- Support development and tracking Annual Operating Budget – Variable Labor and Non-Labor
- Work with trade managers to develop annual budget, report risk, and ensure that monthly budget targets are met
- Work with trade managers and Finance to manage VL labor rosters and changes
- Set up and maintain annual budget trackers and tools
- Support tracking of Variable Labor chargeout
- Ensure timesheets are working properly and hours are being charged to appropriate projects
- Meet with trade managers monthly to address any hours that have not yet been charged off
- Work with company wide partners to identify and define scope for Multi-Year Capital Planning (MCP)
- Track and follow up on action items and ensure all project opportunities are updated in online database
- Ensure all supporting documentation and photos are provided with project opportunities
- Summarize and develop overall presentations for leadership team
- Current year capital project tracking
- Meet with project managers weekly to ensure that latest budget estimates are up to date, cash flows are current, and any risk/favorability is noted
- Meet with leadership team and Finance to update on all current year capital budget changes and disseminate approvals
- Ensure project managers are tracking toward committed to milestones and quarter cash flow targets, report any variances
- Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite.
