Position Overview
Human Services is seeking an experienced, highly organized professional to provide direct administrative support to the Director and department leadership. This position coordinates schedules, meetings, correspondence, records, projects, and priorities while exercising sound judgment, maintaining confidentiality, anticipating needs, and working effectively with internal and external stakeholders.

What Will You Do?
- Manage the Director’s calendar, appointments, meetings, and conference calls.
- Respond to visitors, calls, correspondence, and departmental inquiries.
- Prepare correspondence, reports, presentations, agendas, meeting materials, and minutes.
- Coordinate special projects, conduct research, compile information, and track follow-up actions.
- Maintain confidential records, files, databases, and administrative tracking systems.
- Process purchasing, payroll, personnel, budget, claims, and other administrative documents.
- Monitor deadlines, schedules, workload data, financial information, grants, and departmental priorities.
- Coordinate administrative activities across Human Services divisions and programs.
- Communicate with County departments, community organizations, vendors, service providers, and other stakeholders.
- Use Microsoft Office and other technology to prepare documents, analyze data, and improve processes.
- Provide guidance or training to clerical, administrative, technical, or volunteer staff as assigned.
- Perform related duties and support emergency or disaster operations as required.
What Will You Need?
Candidates must meet one of the following:
- Three (3) years of clerical or administrative experience preparing, processing, and maintaining administrative records;
- An associate degree in a related field and one (1) year of related experience; or
- An equivalent combination of education, training, and experience.
Preferred Qualifications
The ideal candidate will have:
Executive Support: Experience providing high-level administrative support to a director, executive, or senior leader.
Organization & Coordination: Strong organizational skills with the ability to manage complex calendars, coordinate meetings and projects, and balance competing priorities.
Communication: Excellent written communication, proofreading, and document preparation skills with exceptional attention to detail.
Meeting Management: Experience preparing meeting agendas, recording minutes, and tracking action items to ensure follow-through.
Technology Skills: Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
Confidentiality: Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
Customer Service: A professional, customer-focused approach with the ability to build positive relationships with diverse internal and external stakeholders.
Initiative: The ability to work independently, anticipate needs, solve problems proactively, and see assignments through to completion.
