Job Details:

Purpose

This position will rovide senior level administrative support to the inventory department at ARL. The role requires gathering and presenting financial and factual information from multiple sources, ensuring accuracy and relevance. The incumbent will manage correspondence, determine work priorities, and create efficient schedules to meet deadlines. Additionally, the role involves analyzing project requirements, producing reports, and maintaining files on current documents and manuscripts. The individual will also be responsible for developing training materials and may provide counsel to the administrative officer on departmental matters.

Responsibilities

  • This role involves the creation and implementation of training initiatives designed to effectively communicate stringent rules and regulations to a broad audience.

  • Develop clear, comprehensive training materials that ensure all stakeholders understand and adhere to the relevant policies and procedures.

  • High-level data collection and entry for a fast-paced, high-volume Property Administration team.

  • The role requires clear, professional communication with financial partners and internal teams to ensure smooth coordination and accuracy across all operations.

  • The incumbent will be responsible for generating regular reports for researchers, ensuring data integrity, and providing timely updates to associated parties.

  • Collaborative efforts with various stakeholders are essential to ensure that all requirements are met, and often exceeded, by maintaining a strong focus on accuracy, efficiency, and responsiveness.

  • Strong organizational skills and attention to detail are critical in supporting the team’s objectives and facilitating successful outcomes.

  • This role involves assisting with the annual inventory process across a variety of environments, including outdoor settings and rough terrain.

  • The incumbent will be responsible for daily tagging and tracking of high-value property, ensuring accurate records are maintained.

  • This includes reporting findings to relevant stakeholders and ensuring that all inventory data is up-to-date and properly documented.

  • The position requires physical stamina and adaptability to work in challenging environments, as well as attention to detail to ensure that all items are accounted for accurately and promptly.

  • Strong communication and organizational skills are essential for effective reporting and collaboration with the team and other relevant constituents.

Required Qualifications

  • HS/GED.

  • Seven years of related administrative experience.

  • Strong communication skills, critical thinking, problem solving skills; self-motivated with ability to effectively prioritize multiple projects; ability to work with people in a team environment.

  • Proficient with Microsoft Office Suite and database management.

  • Relevant education and experience may be substituted as appropriate.

US Citizen. Applicant selected will be subject to a government security investigation and must meet eligibility requirements for access to classified information at the level appropriate to the project requirements of the position.

Preferred Qualifications

  • Bachelor’s degree.

  • Advanced skillset in Microsoft Suite, including proficiency in Word, Excel, PowerPoint, and other relevant tools to manage data, create reports, and develop presentations.

  • Experience in writing curriculum and training programs, with the ability to design and implement effective learning materials that clearly communicate complex concepts.

  • Experience with the sanitization of IT equipment, ensuring that all devices meet security and compliance standards before reuse or disposal.
