About the role

About the role:

The selected candidate will be providing administrative support to Global Capital Equipment & Customer Care Vice President and other leadership team members in the function, supporting on the management and coordination of a variety of function activities under limited supervision. The selected candidate will work in a fast-paced multinational environment, getting to know function activities and events and being able to manage confidential information.

 

In this role, you will be responsible to:

  • Manage complex calendars. Proactively identify and resolve scheduling conflicts, prioritize meetings to ensure efficient use and preferred allocation of time.
  • Support in the coordination of complex domestic and international travel arrangements, including itineraries and agendas, directions, transportation and lodging.
  • Organization of regular leadership meetings for Vice President, including agenda and materials preparation, tracking attendance, and organizing logistics.
  • Organization of regular team meetings and events.
  • Organization of large internal videoconferences and meetings.
  • Performing administrative duties for VP that may include coordinating meetings/appointments, typing, ordering/maintaining supplies, scheduling conference rooms, greeting visitors, arranging travel (both domestic and international), completing expense reports, organizing major functional meetings, preparing and/or sorting mail, using internal tools to process department purchases, plus any other administrative tasks that need to be performed.
  • Mantaining organizational charts and distribution lists for Vice President and other teams.
  • Managing specific communication activities.
