JOB SUMMARY

The primary function of the Parts Service Counter employee is to properly order and assign parts to each repair job and work order. This employee also pulls stock orders for the other NYBS locations and properly records the transfer of parts. 

 
SUPERVISION 

The Parts Service Counter employee develops procedures for performance of variety of duties; or performs complex duties within established policy guidelines. Most assignments are completed independently. 

 
PRIMARY DUTIES AND RESPONSIBILITIES

· Properly read work orders and PDI’s and order the proper parts. 

· Correctly allocate all parts to the proper jobs using the Traverse system. 

· Keep orderly records of all repair orders, invoices, insurance estimates and special-order parts.

· Notify the service department when all parts have been received on work orders. 

· Follow up on back ordered parts.

· Keep service counter clean and uncluttered. 

· Notify parts manager of out-of-stock parts or shop materials that need immediate attention. 

· Locate out-of-stock parts from outside source and submit an emergency order, if necessary.

· Pull stock orders for the other NYBS locations and properly record the transfer of parts.

· Follow all prescribed safety methods and perform work safely.


OTHER DUTIES

· Report inventory discrepancies to inventory clerk.

· Assist other work areas when needed.

· Assist with parts department phone coverage.

· Perform other duties as assigned.

Requirements

 EDUCATION / REQUIRED EXPERIENCE

  • High school diploma or equivalent preferred. 
  • Previous forklift certification preferred. Will train and certify employee if forklift is needed for job execution.

REQUIRED KNOWLEDGE/QUALIFICATIONS/SKILLS/ABILITIES 

  • Demonstrate good organizational skills.
  • Read bus diagrams to properly identify parts.  
  • Retain common part numbers. 
  • Understand oral and written instructions sufficiently to guide customers on suggested parts and to participate in all other parts department activities. 
  • Professionally conduct regular in person and telephone communication with customers, supervisors, and employees.
  • Write or type sufficiently to communicate with customers and vendors via email or fax. 
  • Perform numeric calculations to accurately calculate prices for purchase orders and vendors. 
  • Be safety conscious and demonstrate the ability to follow prescribed safety practices to prevent injuries to self and others. 

ESSENTIAL PHYSICAL REQUIREMENTS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

  • Maintain manual and finger dexterity sufficient for frequent use of computer and grasping of small parts. 
  • Frequently lift and handle parts weighing up to 25 lbs. 
  • Occasionally lift and handle parts weighing 26 to50 lbs.
  • Occasionally lift parts weighing over 100 lbs with assistance. 
  • Sit for prolonged periods of time. 
  • Stand, walk, balance, bend/stoop, crouch/kneel reach and push/pull sufficiently for occasional need to move throughout the parts department when pulling parts. 
  • Climb sufficiently to access all levels of the parts department.  
  • Maintain vision sufficient to frequently use a computer screen and read technical manuals.
