Position Summary

The Executive Assistant provides high-level administrative, logistical, and operational support to the Executive Director and senior leadership team of the Office of Overdose Response. This position plays a critical role in ensuring the smooth functioning of the office, which leads the city’s comprehensive overdose response strategy, administers opioid restitution funds, and ensures compliance with the Consent Decree’s Paragraph 97 provisions.

The Executive Assistant will manage complex schedules, coordinate meetings and events, handle sensitive communications, and serve as a trusted point of contact for internal and external partners. The ideal candidate is highly organized, proactive, detail-oriented, and committed to the mission of reducing overdose deaths and improving public health outcomes in the city.

Key Responsibilities

Administrative & Scheduling Support

  • Manage and maintain the Executive Director’s calendar, including scheduling meetings, briefings, public appearances, and interagency collaborations.

  • Support coordination and planning for BCMOOR scheduling

  • Coordinate meeting logistics, including room reservations, technology setup, and material preparation.

  • Ensure timely follow-up on scheduling requests and changes.

Meeting Preparation & Documentation

  • Prepare agendas, briefing materials, and background documents for internal and external meetings.

  • Attend meetings to take accurate, concise, and well-organized notes; distribute summaries and action items promptly.

  • Track and follow up on outstanding tasks and deliverables.

Event Planning & Support

  • Support planning and execution of office events, such as community listening sessions, Resident Advisory Board meetings, press events, and public engagement activities.

  • Assist with event logistics, including vendor coordination, materials preparation, registration, and on-site support.

  • Coordinate set-up and clean-up of meeting and event spaces.

Operational & Project Support

  • Assist with the preparation of reports, presentations, and communications to the public, City Council, and partner agencies.

  • Manage travel arrangements and expense reporting for the Executive Director and senior staff.

  • Maintain organized filing systems for both physical and digital records.

Communications & Liaison Duties

  • Maintain a high level of confidentiality when handling sensitive information related to overdose response initiatives, funding allocations, and interagency activities.

  • Foster strong working relationships with city agencies, community partners, and grant recipients.

  • Support public communication efforts

Qualifications

  • Associate degree required; bachelor’s degree preferred, ideally in Public Administration, Public Health, Communications, or related field.

  • Minimum of 2 years of progressively responsible administrative experience, preferably in government, public health, or nonprofit organizations.

  • Proven ability to manage multiple priorities in a fast-paced environment.

  • Exceptional organizational skills with meticulous attention to detail.

  • Strong written and verbal communication skills.

  • Proficiency in Microsof
