Description
· Supports Food and Beverage events and activations by ordering supplies, booking vendors, and assisting with the booking process.
· Administrative duties assisting the entire F&B team including front of the house F&B, culinary, and stewarding.
· Supports the F&B Management team by performing administrative functions such as calendar scheduling, correspondence, payroll, schedule posting, incoming and outgoing telephone calls.
· Works closely with the Sales team to ensure group F&B and Catering commitments are set for success. Actively participates in BEO and resume meetings. Communicates needs, including times guests are on own, to the F&B team.
· Assists with F&B training and compliance including Food and Beverage certifications. In charge of archiving all certification and following up to ensure all curators are up to date with their certifications and training requirements.
· Assists with the management of the reservation system, labor forecasting, staff scheduling and schedule adjustments. Maintains record of absenteeism and tardiness and communicates violations to this policy for follow up and documentation to the management.
· Assists with marketing and promotional programs to build restaurant sales.
· Follow up with guests requesting private dining in the restaurant. Actively looks to gain business for the hotel F&B outlet venues.
· Approves payroll hours on a daily and weekly basis for all restaurant personnel. Assists to correct punches, input tips, and ensure paperwork is filed properly through HR.
· Ensures all tips and banquet gratuities are correctly entered into the payroll system.
· Perform general office duties, such as ordering supplies, distributing mail and paychecks, creating and maintaining files/records.
· Assist in making reservations or travel arrangements.
· Assist in quality control: proofs, edits, and assures accuracy of all written documentation. Including but not limited to manus, promotions and training materials.
· Respond to F&B social reviews online.
Other duties as assigned by the director of restaurants and bars or executive chef.
Requirements
· This position will have access to confidential information, and it is imperative that he/she always maintain high level of confidentiality.
· Polished and professional appearance and demeanor in person, online and via phone. Excellent communication skills both written and verbal.
· Ability to provide customer service that is above and beyond for customer satisfaction and retention.

· Proficient in MS Excel, Word, PowerPoint; comfortable with learning new software and systems.
· Highly honed organization skills and strong attention to detail.
· Ability to handle stressful situations and deadlines.
· Bilingual and luxury hotel experience a plus but not required.
· 2 years of experience in the administrative assistance, clerical services, HR/Payroll handling, or related professional area, and/or 2-year degree from an accredited university of Secretarial Studies, Business Administration or Hotel and Restaurant Management
