Job Description
Responsible for daily document scanning activities including scanning prep, document tracking, scan processes, quality assurance review, document retention/destruction, and issue support/communication/resolution. Perform daily, weekly, monthly, and annual scanning processes to ensure team production, quality and service level agreements are met. Provide communication and support to internal stakeholders for incoming documents to ensure documents meet scanning and tracking process requirements. Provide initial quality assurance review of incoming documents and scan processing to ensure accurate storage into document management systems. Provide assistance and backup support for quality assurance and issue resolution processes.
Qualifications
Required:
- Bachelor's degree or applicable work experience
- 4+ years’ experience with high speed scanners and software operations.
- Proficient office administration knowledge.
- Excellent verbal and written communication and documentation skills.
- Ability to proactively develop and maintain effective relationships in a collaborative environment in order to achieve the goals of the department.
- Self-starter with effective problem solving and organizational abilities.
- Microsoft Office and math skills.
- Demonstrated ability to perform in a production-based environment; experience working in an environment with aggressive timelines and accuracy/quality measurements.
- Ability to lift/carry 30-50lbs.
- Ability to stand for extended periods of time.
Preferred:
- Bachelor's degree
- Specific experience with Kodak high speed scanners and Capture Pro software operations.
Additional Information
Job Responsibilities
a. Provide document processing to include document specific tracking and quality assurance processes for all incoming documents and scanning requests for various business areas, including: Legal, HR, Operations, Finance, and Sales.
b. Provide mail to scan processing support for incoming mail to meet service level agreements with business areas that require quick access to incoming mail to begin their processes.
c. Provide high priority and special handling request support to internal stakeholders to meet business and project requirements and timeframes.
d. Provide initial quality assurance support and work directly with internal stakeholders on ensuring accurate preparation and processing of documents and reporting.
e. Ensure completion and accuracy of the document logging and tracking process and work directly with stakeholders for corrections.
f. Provide assistance and backup support for scanner program testing for stakeholders and project teams.
g. Provide assistance and backup support for quality assurance activities and implement corrective actions as needed.
h. Provide performance and statistical data to support creation of required quality and production management reports.
i. Provide and maintain accurate document retention practices in support of internal, federal/state, Blue Cross Association, and other appropriate requirements.
j. Maintain positive working relationships with all business stakeholders; ability to communicate with all levels of leadership and decision makers.
k. Provide daily scanning/retrieval support to internal stakeholders to ensure all services meet contractual and stakeholder requirements.
