About the role

We're seeking a Concierge-Administrative Assistant for White River Memory Care (Enumclaw, Washington) who enjoys combining their skills and experience in both hospitality and administrative duties! A successful candidate will not only have outstanding experience, but also have compassion toward our residents as we serve both them and their families. Working hours are Tuesday-Saturday, 8:00 am-4:30 pm. A wage of $22.00-26.00 per hour will be commensurate with experience and full-time benefits with PACS. Applications will be accepted through Sunday, July 26, with screening interviews being July 27-29.

Business Office Duties

  • Acts as the primary point of contact for office-related administrative needs across all departments.

  • Ensure all personnel files and resident financial records are audit-ready and compliant with state regulations at all times.

  • Obtain deposits for new move ins. 

  • Assist with managing resident trust, including printing, and distributing monthly statements.

  • Maintain census and report status changes.

  • Obtain managed care and Medicaid authorizations including bed holds.

  • Participate in billing and payment processes including preparing bank deposits, and handling and reconciling petty cash.

  • Generates monthly billing statements, including AR/AP reports and duties.

  • Undertake collection activity for bad debts.

  • Responsible for assisting in the recruiting, hiring, and onboarding processes.

  • Handles payroll functions for the community.

  • Responsible for tracking employee credentials, annual education, and other learning tasks through the learning system.

  • May attend stand-up meetings at the request of the Executive Director.

  • Other administrative or clerical duties as assigned.

Hospitality-Concierge Duties

  • Greet and welcome patients, clients, and other visitors with a friendly and positive demeanor.

  • Answer telephone calls and take messages or forward calls.

  • Check visitors in and direct or escort them to specific destinations.

  • Inform other employees of visitors’ arrivals and cancellations.

  • Maintain visitor sign-in log.

  • Handle incoming and outgoing mail

  • Schedule appointments and maintain meeting room bookings.

  • Maintain and tidy the concierge area.

  • Agree not to disclose residents’ protected health information and promptly report suspected or known violations of such disclosure to the Executive Director.

  • Maintain the confidentiality of all resident care information including protected health information. Report known or suspected incidents of unauthorized disclosure of such information.

  • Perform other duties as assigned.

Qualification

Education and/or Experience

High school diploma or equivalent.

Strong understanding of skilled nursing billing and payment as well as proficient in Microsoft products computer skills.  

Preferable one-year experience in a long term care facility.  

Language Skills

Ability to read technical procedures.  

Ability to read and comprehend policy and procedure manuals.  

Ability to effectively present information and respond to questions from managers and employees.

Mathematical Skills

Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.

Reasoning Ability

Ability to solve practical problems.  

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Certificates, Licenses, Registrations

Knowledge and experience with PCC preferred.

Physical Demands  

The essential functions of this position require the following physical abilities: Prolong use of computer. Standing and /or walking very frequently.  Sitting occasionally.  Reaching with hands and arms frequently, pushing/pulling very frequently. Talking and /or hearing very frequently.  Tasting and /or smelling very frequently.  Lifting up to 50 pounds frequently. Climbing, balancing, stooping, kneeling, crouching or crawling occasionally.  Close, distance, color, peripheral, and depth perception in vision: ability to adjust focus.
