Personal Assistant to Global Head of Lending

Who are we looking for:
You support the Head of Lending and closely collaborate with the Business Manager, the Global HR Business Partner and the management team.
You are a highly organized, delivery-oriented, all-round assistant who embraces change in a fast-paced, dynamic and international environment.
The role requires excellent organizational, communication and interpersonal skills. You are discreet, energetic and a result driven experienced assistant. You have the ability to anticipate to the needs of the head of lending, proactively manage priorities, therefore you have a can do approach, are creative and not afraid to speak up your mind. You embrace a growth mindset and are eager to learn.
Your responsibilities:
- Your main responsibilities will be calendar and inbox management. Ensuring that the Head of Lending is well prepared for the variety of daily activities by taking initiative, pro-actively picking up tasks with the aim to organise the workload and agenda of the global head.
- You schedule and coordinate the (digital) meetings, share team related information and coordinate communication with the Lending teams.
- You prioritize the information flow of daily correspondence.
- You are making travel arrangements and coordinating meeting schedules in close collaboration with the regional PAs
- Aside from general administrative activities such as claiming expenses in Workday, proper handling of Eprofit invoices, requesting PO numbers including Know Your Supplier process, you are the spider in the web and are always up to speed on everything that is going on in the Lending organization.
- You advise on content related topics, give advice on the usage of digital collaboration tools effectively and follow-up on communication.
- You prepare the MT meetings in close collaboration with the business manager, this includes drafting the agenda, circulating meeting documents and maintaining the rolling agenda. You attend the MT meetings and offsites.
- You monitor CO2 budget and address any corrections
- You maintain the Mailing Lists used for internal communication
- You are able to build a strong Lending PA team
About you:
- You have minimum of 5 years of experience as an executive assistant in a similar international role
- You see yourself as a gatekeeper to prioritize the agenda of your manager and are not afraid to ask questions when needed
- You are able to adapt to changing schedules, priorities and high-pressure situations while maintaining autonomy and accountability.
- You are able to balance multiple priorities and deadlines while maintaining attention to detail and quality, especially when dealing with sensitive information and communications that require a high degree of discretion.
- You are proactive and have the ability to anticipate issues and independently take action where required
- You have excellent time management skills, with the ability to prioritize tasks and meet deadlines efficiently.
- You are able to handle confidential information with integrity and discretion You get enthusiastic picking up things you have never done before
- You have excellent communicative skills in English and Dutch
Given the nature of the work and access to confidential and sensitive information, the role is deemed to be ‘sensitive’. An extra security clearance is required by the Corporate Special Investigations (CSI) team to be appointed to this role.
