TITLE:                              Administrative Assistant of the L. Russ Bush Center for Faith and Culture

DIVISION:                       Academic

SUPERVISOR:                Director of the L. Russ Bush Center for Faith and Culture

 

I. PURPOSE OF THE JOB (What are the end results or objectives of this position? Why does the job exist?)

The Administrative Assistant at the L. Russ Bush Center for Faith and Culture assists the Director/Professor and coordinates duties of the Secretary of the Center/Seminary.  His/her duties include but are not limited to the following:

 

II. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES (What duties are required for the position to exist? Estimate the percentage of time spent in each.)

  • Plan and Execute All Center Events (Drummond Bush Lecture Series, Conferences, Evening Lectures, various other events with meals, etc.)
    • Create and update schedule for event in consultation with Director
    • Organize and execute all event promotion (Secretary may assist, this also may be done in conjunction with the Communications Office for larger events)
      • On campus
      • Off campus
  • Correspond with speaker(s) and their staff
  • Coordinate speaker(s) travel and lodging arrangements
  • Create speaker(s) itinerary
  • Work with the Accounting Office to ensure speaker(s) is paid
  • Manage event expenses
  • Issue invitations to guests (if needed)
  • Reserve rooms and arrange for set up
  • Work with Media Services to ensure proper media needs
  • Work with Security regarding parking and building access
  • Arrange any meals/ refreshments (with help from caterer if needed)
  • Manage logistical and hospitality details of events
  • Host and assist in facilitating events, delegating responsibilities to CFC staff members
  • Schedule and host Zoom Webinar for virtual events
  • Scheduling of future events
  • Calendars
    • Manage Director’s Calendar including scheduling meetings and appointments
    • Coordinate Event Calendar for Center
    • Coordinate CFC Staff Work Schedule Calendar
    • Assist Content Coordinator with Podcast Calendar
  • CFC Mentorship
    • Create applications for 101 and 201
    • Collect applications and communicate acceptance via emails
    • Answer questions from mentees
    • Set schedule for meetings
    • Reserve meeting location and food for meeting
    • Track meeting attendance and list of active mentees
    • Assist Faculty Support Specialist with
