JOB SUMMARY
The Junior Asset Manager is an entry-level, developmental position designed to build a strong foundation in commercial real estate operations and develop the knowledge, skills, and judgment required to manage assets. Reporting to the Senior Asset Manager and working closely with the Asset Management Assistants, the position will initially learn property operations through structured training and hands-on participation in recurring property matters. As experience and competency develop, the employee will progressively assume greater responsibility for designated properties or portions of the portfolio under Senior Asset Manager oversight.
ESSENTIAL FUNCTIONS
- Complete structured training and hands-on assignments to learn departmental processes, procedures, standard operating procedures (SOPs), systems, controls, approval requirements, and documentation standards.
- Assist Asset Managers and Asset Management Assistants with recurring property-management and asset- management activities, developing the operational foundation necessary for progressive responsibility.
- Assist with tenant matters and communications, including service requests, access controls, building schedules, amenities, notices, meetings, and follow-up, documentation and escalate matters appropriately.
- Coordinate with property managers, vendors, contractors, and consultants on service calls, repairs, inspections, annual testing, contract documentation, scheduling, and other recurring property needs under direction.
- Review and code property invoices; verify supporting documentation, contracts, budgets, and approval requirements; route invoices through established workflows; and assist in resolving discrepancies and payment issues.
- Maintain complete, accurate, and current property records, including leases, amendments, contracts, insurance certificates, property tax records, approvals, vendor files, project documentation, reports, and other asset records.
- Support lease administration by tracking critical dates and obligations, assisting with lease review and abstraction, maintaining rent and billing information, and monitoring security deposits, accounts receivable, collections, and compliance with lease terms.
- Assist with Common Area Maintenance (CAM) administration, including expense review, tenant information, estimates, adjustments, reconciliations, and related documentation and communications.
- Participate in property inspections, tenant meetings, vendor meetings, leasing discussions, capital-project meetings, and other property matters; document observations, action items, responsible parties, and deadlines.
- Learn building operations, property-management practices, life-safety and compliance requirements, vendor responsibilities, and the operating needs of each assigned property; promptly elevate material issues to the Asset Manager.
- Support capital projects and tenant improvements through scope development, bidding, approvals, scheduling, invoice review, progress tracking, recordkeeping, closeout, and final cost reporting.
- Assist with annual property budgets, forecasts, cash flow projections, and operating plans; gather assumptions and supporting information and maintain accurate schedules and workpapers.
- Prepare budget-to-actual analysis, research revenue and expense variances, identify unusual activity, and help prepare accurate and timely property and portfolio reports.
- Support leasing activity, market research, rent comparisons, capital planning, and basic financial and operational analysis under the guidance of the Asset Manager or Senior Asset Manager.
- Use Excel and commercial real estate, property-management, accounting, document-management, and reporting systems accurately and in accordance with established controls.
- Take ownership of assigned tasks, clarify expectations, meet deadlines, maintain accuracy, communicate status and issues promptly, apply feedback.
- As knowledge, performance, and judgment develop, progressively assume responsibility for designated properties, operating matters, or portions of the portfolio under Senior Asset Manager oversight.
- Provide supporting assistance, as appropriate, for acquisitions, dispositions, due diligence, portfolio reporting, investment analysis, and special projects; these activities are developmental and supporting responsibilities rather than the initial core of the position.
- Work in a constant state of alertness and in a safe manner, and perform other duties as assigned.
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
