A Sr. Administrative Assistant job is available with the City of Fort Worth Development Services Department in the Business Support Team. This position will serve as the Department-wide subject matter expert for purchasing and coordinate all purchases for the department. Additionally, the position will help create process improvements in purchasing procedures and will aid in training department personnel how to participate in the purchasing process most effectively.
Minimum Qualifications:
- Bachelor’s Degree from an accredited college or university with major coursework in Public Administration, Business Administration, Human Resources or related field Experience can be used in place of a bachelor’s degree
- Three (3) years of increasingly responsible administrative and fiscal management experience, including one (1) year in a supervisory or lead capacity
Preferred Qualifications:
- PeopleSoft Purchasing or similar system-based purchasing processing
- Adobe Sign (creating fillable forms)
- Microsoft Excel
The Sr. Administrative Assistant job responsibilities include:
- Oversees division/department-wide purchasing procedures; coordinates various financial and budget activities, including monitoring and requesting requisitions, establishing purchase orders.
- Strive to achieve 100% purchasing compliance through appropriate processes, SOPs, and staff training & education.
- Provide excellent customer services to internal staff to ensure purchasing for business processes is complete on time and in full.
- Ensure department financial capacity/participation in appropriate city-wide contracts..
- Communicate updated schedules and requirements for year-end and attend Purchasing forums as the department represntative; share pertinent information with appropriate staff.
- Prepare Vendor Services agreements.
- Understand bid limits and laws including sole source/proprietary purchases.
- Ability to look up NIGP Commodity Codes, SAMS verification, and MWBE verification.
- Use Direct Connect for Staples orders.
- Credit card approval process.
- Prepares reports and may make training presentations.
- Prepares financial, and statistical reports.
- Track data and prepare purchasing reports for Key Performance Indicators for non-compliant purchases.
- Serves as an assigned department liaison with other city departments, divisions, and outside agencies.
- Assists in the preparation, development, interpretation, and implementation of City and departmental program standards, policies, and procedures.
