Job Summary

 

As a Corporate Administrative Assistant, you will perform an array of administrative functions critical to running an organization efficiently.  You will strategically manage our senior management’s complex schedules through prioritization and organization.  You will handle travel arrangements, create expense reports, and disseminate information.  Your communication will be personable while still getting your point across.  As a team ambassador, you are proficient in writing and proofreading with impeccable grammar and composition.

 

Responsibilities

 

  • Manage complex Outlook calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.
  • Arrange and reserve conference rooms, catering, audio/visual, and other essential services as needed for meetings and conferences.
  • Coordinate travel arrangements (both domestic and international) and manage, process, and reconcile corporate credit cards using the Concur Travel and Expense system, ensuring the accuracy/timeliness of expense report submission and compliance with company travel and expense policies.
  • Compose and produce business correspondence, email, and Google/Microsoft forms.
  • Assist with coordination of industry events (registration, travel arrangements, customer/vendor meetings)
  • Assist with managing group events for the company and customers (travel, awards/gifts, activities)
  • Participate in general administrative duties (copying, ordering supplies and branded stationery/business cards, distributing mail, and handling ad-hoc projects).
  • Assist with maintaining company intranet, branch departmental site content, and company contact lists.
  • Maintain the utmost confidentiality and professionalism when dealing with sensitive materials and information.
  • Other related duties.

 

 

 

Qualifications

 

  • High school GED required, some college or associate degree a plus.
  • At least 5+ years of administrative support in a corporate environment, supporting senior-level executives.
  • At least 3+ years of calendar management supporting multiple executives.
  • At least 2+ years of meeting and event planning experience.
  • Experience arranging travel, meetings, catering, and general office organization.
  • Advanced computer skills using Microsoft Office software (Windows, Word, Excel, and PowerPoint)
  • Ability to multi-task in a fast-paced environment
  • Excellent written and verbal communication skills
  • Strong analytical problem-solving skills.
  • A demonstrated ability to act independently, organize workload, set priorities, work well under deadline pressure, adapt to change, and handle confidential material.
