A Brief Overview
The Lead Preference Card Coordinator (PCC) RN provides expert support to managers and team members, addressing escalations and offering guidance and solutions. They act as an advocate for the team, translating issues to non-clinical upper management. Responsible for maintaining an accurate, data-driven preference card system across multiple sites, the lead ensures alignment of patient care and resources and manages EPIC preference card content. The role involves collaborating with departments to ensure smooth OR operations, developing standard work, conducting audits, and educating the team and other departments. The lead also uses performance improvement methods to identify opportunities to enhance care and service.

What you will do
- Subject Matter Expert (SME): • Function as the SME to the PCC team and be able to create, setup and train to the standards of preference card management to the organization; Proactively review escalations and provide insight, guidance, and resolutions; Troubleshoot issues for rest of PCC Team including identifying issues, communicating with OpTime, creating ticket(s) • Possess strong knowledge of the intra-operations of SHC, including working with supply chain, vendors, Bio Engineering, and other like departments to lead on-boarding of new surgeons and maintenance of the preference card system • Uphold excellent repertoire with all stakeholders and function as a positive focal point of the interventional platform; Understands and shares knowledge of the Interventional Platform stakeholders with their respective process flows (patient care and back-end support). Leverages this knowledge to question current practices for further improvement to the strategic goals of the department and organization.
- Daily Activities include, but are not limited to: • Manage enterprise-wide mnemonic creation and maintenance; develop and implement Standard Work, oversee Preference Card Coordinator RNs’ adherence to it, and lead complex projects. • Lead complex projects, such as department-wide audits; collaborate on interdepartmental performance improvement initiatives, and create PowerPoints and Visios. • Design HealthStream education modules in Articulate, work with IP Education to assign modules to Service Heads, and manage Smartsheets for Instruments, Equipment, and Global Changes, providing user education. • Manage Supply Chain global subs, update preference cards, and handle communication and requests for medications with Willow IT Team. • Oversee enterprise-wide (except TV) SPM instrument naming, entry, modification, and deletion; maintain Mnemonic Maintenance Table and Procedure Group Dictionary, monitor and report non-compliance using automated SPM reports. • Run advanced Epic reports (e.g., Security Templates), address staff on incorrect templates, and compile, submit, validate, and communicate Biweekly Maintenance Tickets.
- If operational need or ask arises, the Lead PCC is expected to be proactive in filling in for the PCC team member(s) and perform the day-to-day activities (refer to PCC job description).
Education Qualifications
- Bachelor’s degree in a related discipline, or equivalent years of service required.
Experience Qualifications
- Minimum of 5 years recent intra-operative experience in an acute care OR environment required, plus at least 2 years relevant lead experience.
- Experienced with Workday ERP, advanced Microsoft Excel, proficient in other Microsoft Office programs, and skilled in data management required.
- Experience with EPIC OpTime, case scheduling, and independent project management, mentoring others, and applying A3 thinking and SBAR for management activities required.
