Job Description

Duties And Responsibilities

  • Develop a working knowledge of all Cosmetology/Barber statutes and regulations in order to disseminate this information to all in-house staff, field staff, licenses, and consumer inquiries
  • Supervise and train in-house and field staff on all office procedures, performance expectations and position responsibilities.
  • Direct and guide daily work operations through establishing objectives, practices, and methods of standards.
  • Collaborate with the Executive Director to make work processes more efficient by reducing costs, reducing lead times and/or improving accuracy and efficiency.
  • Collaborate with the Executive Director to prepare Board agendas, materials, rules, and directives
  • Attend a minimum of 15 hours of professional development programs annually pertaining to the scope of your job responsibilities.
  • Keep an updated procedure manual of all duties with specific details of each step to complete.
  • Ensure that all projects, including posting board meeting notices, compiling board meeting agenda items, drafting follow-up correspondence and board directives are completed within each deadline given by the Executive Director.
  • Responsible for tracking all Board cases, updating the case status report that appears on each Board agenda, and working with litigation counsel at the direction of the Executive Director.
  • Produces all PO’s and submits invoices for payment.
  • Acts as the official timekeeper for the agency.
  • Submits approved rules to the Secretary of State’s Office
  • Serves as the HR coordinator, reports, and coordinates with the Executive Director on time approval, terminations, and staffing.
  • Develops and submits all travel claims for staff & Board members.

Education and Experience

  • Associates degree preferred or equivalent work experience. Master Instructor’s license preferred.

Knowledge, Skills, Abilities, and Competencies

  • Assure that work product is complete, accurate, timely and understandable by proofreading documents created when necessary.
  • Ensure that all work products (e.g., legal counsel directives, Inspection notices, and violation notices) are complete, accurate, timely, and understandable.
  • Ensure daily activities are performed as scheduled.
  • Actively listens and takes notes in committee meetings to produce meeting notes.
  • Contribute and listen during meetings, training, and other group discussions.
  • Respond to all in-house staff inquires and/or complaints within one working day. Bring to the attention of the Executive Director any issue which needs clarification or assistance to resolve.
  • Always consider the impact of your actions and communications as it relates to the integrity of the Board, Executive Director.
  • Ensure the ability to process sensitive information pertaining to Board cases and personnel matters and maintain confidentiality at all times.

Additional Job Description

  • Acts as the IT cite support and communicates needs to IT vendors.
  • Sets up for Board meetings.
  • Look for opportunities to improve office processes and procedures that lead to reduced costs, reduced lead times, and/or increased accuracy.
  • Act appropriately and independently without specific instruction daily and in the absence of the Executive Director.
  • Ensure that telephones within the office and front desk are consistently covered each day during breaks, lunch, and short absences.
