JOB TITLE:
Library Assistant, Senior - Resource Discovery and Management Division, UW Libraries
JOB PURPOSE:
This position uses a working knowledge of library science techniques and practices related to the workflows in the Resource Discovery and Management Division of the Libraries. Key responsibilities include ordering library materials and integrating them into the library collections; conducting pre-order searches to prevent duplication of items; receiving library material and verifying their accuracy; processing invoices upon receipt for payment and entering them into the library system; performing copy cataloging for both gifted materials and purchase items, receiving and condition-checking of the gifted collection; returning popular reading titles to the vendor; managing the assessment of damaged print materials. This role also involves resolving orders, invoices, and copy cataloging issues under library specialists or unit supervisors.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Perform copy cataloging. Edit cataloging records to accurately reflect the items being described, following local and national standards. Receiving, condition checking, and searching the library system for held titles of gift collections.
- Enter approved invoices for one-time purchases and continuing resources in the library system, Alma. Create procurement card purchases in various accounting systems, post the invoices in Alma, and transfer them to the accountant.
- Handle the assessment of billed and damaged print materials.
- Assist with returning and maintaining Popular Reading Collection book titles. Work with the program coordinator to resolve problems or make changes.
- Perform preservation of maps for the collections, including training student employees to encapsulate maps for conservation.
- Assist with bulk record loading for new orders and updates from established programs.
- Receive shipments from vendors. Unpack boxes, verify the condition of items and match them to the invoice. Assist with verifying access to purchased electronic books in the Library Management System.
- Create, revise, and update training manuals and documentation for tasks related to job duties. Assist with training others as assigned.
- Provide information to outside institutions and departments as directed.
- Participate in special projects as assigned.
SUPPLEMENTAL FUNCTIONS:
- Participate in special projects as assigned.
- Cross-train in other units as needed.
- Prepare all outgoing shipments for all formats to be cataloged by the Backstage vendor and receive materials afterward. Verify records and prepare items for processing.
- Other duties are assigned based on the department's and the Libraries' needs. Must contribute to a positive work environment by demonstrating a willingness to participate in the solution processes and a commitment to teamwork within a large, complex organization.

REMOTE WORK ELIGIBILITY:
This position provides vital support to campus customers and requires the successful candidate be available to work on campus.
The successful candidate must be eligible to work in the United States. Sponsorship for H1-B work authorization or work visa is not available for this position.
MINIMUM QUALIFICATIONS:
Education: Associate’s degree or equivalent combination of education and experience
Experience: 1-year work-related experience in a library, office, or similar setting
