Description
The Department of Mathematics is seeking a Graduate Program Coordinator.
The Graduate Program Coordinator (GPC) oversees and manages all administrative aspects of the Mathematics Graduate Program, which includes both Master’s and Doctoral tracks. Key responsibilities include coordinating the application and admissions process, ensuring compliance with university policies and procedures, preparing and issuing offer letters, submitting electronic appointment transactions, and organizing qualifying and other graduate-level examinations.
This role provides direct support to the Director of Graduate Studies (DGS) for Mathematics and serves as the primary liaison between the department and key university offices, including the Graduate College, Office of Admissions, and the College of Liberal Arts & Sciences. The GPC also facilitates prospective student visits, plans and executes the annual graduate student orientation, and supports other events related to graduate student engagement and success.
At the discretion of the Department Executive Officer (DEO), the GPC may also assist with activities related to the Applied Mathematical and Computational Sciences (AMCS) program.
Key Responsibilities
- Serve as graduate program liaison and primary administrative contact with prospective students, current students, faculty, staff, and the public making inquiries concerning Mathematics graduate programs.
- Coordinate all aspects of the graduate admissions process, including correspondence with applicants. Maintain applicant database and provide electronic documents for review as needed. Process final admissions decisions in coordination with the Mathematics Director of Graduate Studies (DGS).
- Organize and assist the DGS with new graduate student orientation schedule and provide information regarding other required campus orientations.
- Communicate policies and policy changes to graduate students.
- Develop and maintain accurate program materials, both written and electronic, including program brochures, letters, web information, and promotional pieces for the graduate programs.

Qualifications
Education Required
- Bachelor’s degree or an equivalent combination of education and related experience.
Required Qualifications
- Excellent written and verbal communication skills.
- Proficiency in computer software applications, especially spreadsheets and database systems.
- Excellent interpersonal skills.
- Ability to multitask and manage multiple cycles of deadlines and processes simultaneously.
Desired Qualifications
- Some knowledge of University Policies, procedures and regulations is highly desirable.
- Some (6 months to 1 year) administrative experience is highly desirable.
