Job Summary
The Director of Audit Operations will drive the transformation of our audit operations, systems and workflows to ensure client metrics, internal goals and metrics, along with client service levels are met and exceeded. The employee in this role will align with the VP of Vital Chart to reduce operational variation in the field, promoting centralization and optimizing outcomes. This role will align closely with the various cross-functional teams at Vital Chart. The role is intended to drive ultimate accountability of audit growth, core product delivery, client relations and escalation administration for Vendor/Aggregator customers requesting medical records for the fulfillment of Audit projects . The role will collaborate internally with executive leaders in Sales, Operations, Technology, Corporate (e.g., Finance), and Product Strategy to drive growth and success.
The Director of Audit Operations is focused on the broad, strategic goals, objectives and metrics of the Vital Chart Division. This role is responsible for developing individualized client strategies that are designed to identify and pursue new business as well as retain and grow existing business. There are four key areas of responsibility: 1) Analyze client / business opportunities, 2) innovate on clients’ existing business, 3) capitalize on new product opportunities, and 4) develop a strong client-oriented team.
Responsibilities
- Oversee migration and optimization efforts related to the audit performance and operational strategies
- Ensure best practices and lessons learned are implemented across the enterprise
- Facilitate working sessions with inclusion of subject matter experts to manage change activities as identified by VP Operations Vital Chart
- Facilitation of all Enterprise project management, committees, deliverables as assigned by VPO, as well as execute upon ad hoc projects that will reduce operational variation and promote optimal performance for the Audit Division.
- Embrace project lead responsibilities for new clients and aggregators
- Identify and facilitate the collaboration of training, process improvement and quality initiatives to include reporting for monthly business reviews.
- Ensure ongoing communications and relationship building with aggregators to support the enterprise.
- Facilitate the Standard Operating Procedure (SOP) updates and obtain vendor buy in.
- Maintain frequent contact with all levels of the ROI Operations Management team.
- Provide exceptional time management skills to include being mindful of meeting deadlines, responding timely to emails and phone messages.
- Analyze monthly budgeting and accounting reports to maintain adherence to annual budget and expenditure controls.
- Analyze reports to ensure appropriate monitoring of financial performance and quality and explain any variances in financial data.
- Oversee employee management to include, hiring, training, motivating, coaching, developing, disciplining, and terminating of associates within the reporting structure.
- Other duties, special projects and work activities as assigned by the VP of Operations.
- Provide talent management support for direct report staff including coaching, performance reviews, training and competency development
- Ensure Service Level Agreements (SLAs) are managed and client issues are effectively resolved in collaboration with internal functional teams
- Support and help drive responses to client support request
- Ensure the client relationship is continuously improved through benchmarking, goal setting, timely execution and superior leadership.
- Attend and conduct regularly scheduled status and review meetings with the Clients.
- Drive and coordinate the development of long- and short-term strategy through the generation of strategic insights grounded in analysis.
- Serve as a thought partner to operations leaders on key challenges and opportunities across the business, while proposing new ideas and insights into market developments.
- Evaluate market developments and assess impact on business, including analysis of market share, pricing and cost drivers, and market risks.
- Create project plans and drive the implementation of strategic initiatives, interfacing with both internal stakeholders and client teams.
- Partner with business leaders on special projects and ad hoc analysis used to understand and solve challenges, create new opportunities or mitigate risk.
Qualifications
- Bachelor’s Degree in Business/Management or 10+ years of healthcare industry experience
- Knowledge of HIPAA Compliancy Regulations.
