Job Description

We are seeking a seasoned Executive Assistant to partner with the Vice President, Treasury. In addition, you will also be supporting the Vice President of Tax in the Finance organization. In this role, you will be a trusted advisor to work with the highest level of discretion and confidentiality understanding the priorities of the VP, Treasury, while establishing relationships across the various functional and business teams, outside of finance/accounting, such as legal and procurement teams, to name a few. You will become a core member of Western Digital’s Finance administrative team.

Essential Duties and Responsibilities:

  • Manage and maintain executives schedules, appointments and travel arrangements 
  • Arrange and coordinate meetings and events
  • Monitor, respond to and distribute incoming communications
  • Manage and maintain worldwide bank account database
  • Assist in cash management duties as required. Travel to deposit checks at the bank, at least monthly, or as required
  • Receive and interact with incoming visitors 
  • Liaise with internal staff at all levels
  • Prepare and edit correspondence, communications, presentations and other documents 
  • File and manage external legal and banking documents
  • Interact with external clients
  • Managing POs and expenses related to external services used by Treasury and Tax
  • Travel: Manages complex international and domestic travel. Carefully considers and decides the optimum travel arrangements and itineraries. Processes passports and visas
  • Tool Management: Manages expense reports, and becomes a tool champion of WD’s internal tools. Coordinates with executive technical support teams in advance of meetings and events to understand the best technology needed to ensure a successful outcome
  • In general, daily tasks are carried out at a higher level of complexity. Leverage your administrative expertise to be two steps ahead of your executive; your job will be to problem solve, intuitively understand priorities, and plan ahead for reoccurring events and tasks
  • Handle administrative items and supplies for the department 

 

    Qualifications

    Required

    • B.S. or B.A. required
    • 5+ years’ experience in an Administrative role, preferred.
    • Advanced knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint.
    • High degree of confidentiality required.
    • Motivated to work in a fast-pace environment and ability to prioritize proactively, with a sense of urgency.
    • History of creative problem solving skills, with the ability to work well collaboratively and under pressure.
    • Demonstrates advanced proficiency by quickly adapting to new technology and easily acquiring new technical skills.
    • Exhibits sound judgment and the ability to make reasonable decisions in the absence of direction.
    • Ability to anticipate needs as well as foresee and prevent problems by taking action.
    • Excellent written and verbal communication skills.
    • Highly organized, resourceful, and detail-oriented.
    • Excellent time management skills.
    • Passionate, kind, inclusive, and ethically minded.
