Service Credit Union is seeking an Administrative Coordinator at our Portsmouth, NH location who will be responsible for performing highly skilled secretarial and administrative duties for the Manager of Maintenance, including routine and confidential correspondence, and providing support to the entire Maintenance staff. Records and maintains an organized and efficient filing system of all Maintenance-related files. Assist in the management of operational, technical, and administrative matters pertaining to the Maintenance functions of the Credit Union. This person will research data for various projects, create and maintain report databases/files, design graphs, charts, and worksheets for reporting statistical results and comparisons.

Pay: $20.43, flexible based on experience.

The Day to Day:

  • Design spreadsheets, graphs, and/or charts for reporting statistical results and comparisons. 
  • Create and develop custom and metric reports and maintain appropriate database(s).
  • Research and compile informational reports for new projects as needed.
  • Provide support to the Manager of Maintenance as the liaison to outside vendors.
  • Maintain preventive maintenance calendar by scheduling appointments between outside vendors and Service CU facilities.
  • Maintain the company Safety Data Sheet program for all stateside facilities.
  • Assist in maintaining department Vendor Due Diligence compliance requirements.
  • Provide support to the Manager of Maintenance in the preparation of the department’s annual budget.
  • Maintain the maintenance calendar and send out the appropriate emails and/or calendar event notices when needed.
  • Prepare Department purchase orders and expense voucher forms.
  • Manage corporate and branch janitorial supplies; ordering, tracking & invoicing.
  • Manage kitchen inventory at corporate facility.
  • Other duties as assigned.

Experience and Qualifications:

  • Highly skilled secretarial and administrative duties to include excellent typing ability and speed. 
  • Operate compatible personal computer using word processing, spreadsheet, database, and graphic software applications. 
  • Ability to design spreadsheets, graphs, and/or charts for comparisons and reporting statistical results.
  • Ability to compose professional letters, memos, and emails. 
  • Ability to finalize non-technical correspondence using only a brief outline as a source. 
  • Ability to work independently and as a team player while using discretion in decision-making and sound judgment in problem-solving.
  • Aptitude for detailed work and problem-solving. 
  • Expectation of being a well-organized professional who is a self-starter, requiring minimal oversight and supervision.
  • Excellent organizational, time management and project management skills.
  • Excellent telephone skills.
  • Excellent interpersonal, presentation and organizational skills.
  • Ability to communicate clearly and effectively verbally and in writing.
  • Proficient with Excel, Microsoft Outlook, Word, Power point, and various web-based applications required. 
  • High School diploma or equivalent required.
