Job Description

Under the supervision of the Controller, the Associate is responsible for the internal day-to-day financial operations of the organization, with an emphasis on accounts payable. This position acts as a fiscal gatekeeper and exercises utmost attention to detail to ensure sound fiscal management. The right candidate should possess 1) superb detail orientation, 2) a strong work ethic, 3) responsive and collaborative communication skills, and 4) the ability to manage multiple competing priorities in a fast-paced work environment. 

Essential Duties 

  • Receive and process invoices: verify their accuracy, assign accounting codes, collect approvals, and accurately post the entry to QuickBooks. 

  • Review and process employee expense reports in Certify, our expense reporting system. Process and reconcile credit card statements monthly.  

  • Respond to staff and vendor inquiries related to payments and expenses. 

  • Establish and maintain vendor files, W-9 documentation, contracts, and leases. 

  • Prepare annual 1099 statements. 

  • Process payroll semi-monthly, ensuring accuracy, timeliness, and good recordkeeping. 

  • Prepare wires, ACHs, and other bank drafts for payments  

  • Process all cash receipts and other receivables for review. Make bank deposits and maintain accurate records of all transactions. 

  • Assist in month-end close and bank reconciliations. 

  • Assist with the annual audit and Form 990. 

  • Perform other duties to support the team as needed. 

Qualifications

Skills/Knowledge/Abilities 

  • Knowledge of finance and accounting principles, such as GAAP. 

  • Knowledge of federal awards such as grants, contracts, or cooperative agreements, preferred but not required. 

Experience/Education  

  • Bachelor's degree in accounting, or equivalent experience working in an accounting role.
