Remote Administrative Assistant

We are seeking a dedicated and organized Administrative Assistant to support the Office of the CEO primarily in managing the CEO's calendar and processing emails. The ideal candidate will have strong processing skills, a strong work ethic, and the ability to think critically. This role is essential in ensuring the CEO's day-to-day operations run smoothly and efficiently.

Calendar Management:
- Coordinate and schedule meetings, appointments, and events for the CEO.
- Ensure the CEO's calendar is up-to-date and free of conflicts.
- Send reminders and confirm appointments.

Email Processing:
- Monitor and manage the CEO's email inbox.
- Prioritize and flag important emails for the CEO's attention.
- Draft, proofread, and send emails as directed by the CEO.
- Ensure timely responses to inquiries and follow-ups.

Administrative Support:
- Prepare meeting agendas, take minutes, and distribute meeting summaries.
- Organize and maintain files, documents, and records.
- Handle confidential information with discretion.
- Assist in the preparation of reports, presentations, and correspondence.

Coordination and Communication:
- Act as a point of contact between the CEO and internal/external stakeholders.
- Facilitate communication and follow-up on various tasks and projects.
- Coordinate travel arrangements and itineraries.

General Office Duties:
- Perform general office duties such as ordering supplies, managing mail, and maintaining office equipment.
- Support other administrative staff as needed.
- Proven experience as an Administrative Assistant or in a similar role.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
- Ability to handle multiple tasks and prioritize effectively.
- Strong critical thinking and problem-solving abilities.
- High level of professionalism and discretion.
- Detail-oriented with strong follow-through skills.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Previous experience supporting senior executives is a plus but not required.
- This role is primarily office-based with PST standard office hours.
- Occasional overtime may be required based on the CEO's schedule and workload.
