Overview:   

 

Oak Ridge National Laboratory (ORNL) delivers scientific discoveries and technical breakthroughs needed to realize solutions in energy and national security and provide economic benefit to the nation. Our wide range of partnerships with other US Department of Energy (DOE) laboratories and programs, universities, and industry allows us to pair our strengths with others for outstanding contributions to science and accelerate the delivery of solutions to the marketplace. ORNL seeks to hire a Senior Administrative Assistant to provide comprehensive support to the Chief Inclusion Officer (CIO) as well as to provide additional support to the Protocol and Community Engagement Office. The successful candidate will be responsible for performing a full range of administrative functions.

 

Major Duties/Responsibilities: 

 

  • Manage the calendar of the CIO by efficiently tracking all incoming requests, maintaining an updated schedule, and ensuring accuracy of appointments and meeting details; monitor agendas to ensure meetings begin and end on time, allowing sufficient time to transition.
  • Track and coordinate activities and tasks for the CIO to assure timely completion.
  • Coordinate associated logistics for meetings, retreats, and offsites as requested.
  • Manage domestic and international travel, including reservations, conference registration, transportation, and expense settlements as requested.
  • Prepare official correspondence in accordance with established lab guidelines and ensure completion of all required reviews and approvals prior to signature; maintain control of business sensitive and confidential files.
  • Maintain a professional office atmosphere and receive and assist visitors; establish and maintain effective working relationships with internal and external contacts.
  • Establish and maintain inclusive work practices to support a culture that promotes and values the dimensions of diversity.
  • Maintain a strong commitment to the Lab’s Core Values, ethics program, and safety principles.
  • Assist with the development and delivery of inclusion-related content and programming for all lab stakeholders.
  • Provide support to the Protocol and Community Engagement Office by providing phone coverage, assistance with requests and projects, and other administrative duties.
  • Execute additional administrative duties as requested.

Basic Qualifications:

 

  • High school diploma and 7-10 years of experience in administrative support
  • Excellent professional demeanor with ability to take initiative and complete tasks with limited or incomplete details, as well as ability to maintain composure and standards of excellence while responding to changing situations and priorities
  • Demonstrated leadership in office management and administration, with ability to anticipate issues before they arise and develop contingencies to allow for a quick pivot
  • Experience in working with a high-functioning team of administrative assistants
  • Excellent written communication skills, with knowledge of professional correspondence (i.e., letters, memos, and emails); must be well organized and detailed oriented
  • Excellent critical thinking and oral communication skills, as well as the ability to develop and manage professional relationships with team members and internal and external stakeholders
  • Demonstrated experience in planning, scheduling, and coordinating meetings and national and international travel
  • Proficient computer skills and a working knowledge of software packages, including Adobe Acrobat, Microsoft Word, Excel, Outlook, Project, and PowerPoint

 

Preferred Qualifications:

 

  • Bachelor’s degree in Business, Communication, English, or related field
  • Strong familiarity with ORNL administrative processes, systems, and guidelines
